The Melbourne Data Center Operations team seeking a Project Coordinator to provide holistic support for operational delivery. They serve as a vital bridge between daily office operations and project delivery and the wide array of stakeholders within our business. Combining both administrative oversight and project management responsibilities, they support teams by maintaining schedules, tracking deliverables, preparing a wide variety of communications and simultaneously ensuring smooth office operations through managing supplies, coordinating facilities, and maintaining systems and reports.
They assist in project planning, monitor timelines, prepare documentation, and standard reporting requirements. They handle office coordination, team events, and manage general administrative tasks. This position requires strong multitasking abilities, as they often switch between organizing team meetings, updating project reports, and coordinating with various stakeholders. The role reports into the Cluster Manager and acts as a key support person for both operational teams, project teams, and stakeholder groups. This role requires excellent organizational skills, attention to detail, and the ability to priorities competing demands effectively.
This role is a unique opportunity to work in some of the most exciting data centers in the world. Amazon data centers are large-scale high-density centers where you will be working on changing the face of Cloud technology in the region. You will be working with various stakeholders to coordinate and improve outcomes through collaboration, innovation and simplification.
Key responsibilities
- Project & Process Management - Planning, execution, monitoring, and continuous improvement of projects and workflows
- Team Coordination & Communication - Facilitating meetings, managing correspondence, and ensuring effective team collaboration
- Document & Calendar Administration - Organizing files, managing schedules, and maintaining information systems
- Technical Development & Support - Learning technical skills, following industry trends, and implementing best practices
- Reporting & Compliance - Creating reports, tracking metrics, and maintaining regulatory compliance
- Administrative & Event Support - Managing office operations, coordinating events, and handling basic finance
Basic Qualifications
- Experience in senior level leadership support, or experience managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel
- Experience using tools to create, manage, and publish documentation
- Experience coordinating, documenting, and communicating inter-departmental meetings and outcomes
- 1+ years of project coordination experience
Preferred Qualifications
- Experience in managing multiple, competing priorities simultaneously
- Knowledge of Microsoft Office products and applications (Excel, PowerPoint, Word, Visio, and MS Project) at an advanced level
