Join All In as an admin superstar, keeping operations, stakeholders, and program delivery running smoothly across NSW ABOUT US The Women's and Girls' Emergency Centre (WAGEC) is a non-government, not-for-profit, charitable organisation that supports clients in crisis and advocates for social change in the community. By 'client', we refer to all women (cis and trans), families and non-binary people comfortable in women-centric spaces. We work across Sydney, on the lands of the Gadigal, Wangal and Dharug people of the Eora Nation and our Prevention activities extend across many Aboriginal nations and language groups. We seek always to work respectfully in partnership with communities and in accordance with local protocols. For over 45 years we have been doing this work in partnership with community, business and government stakeholders. Every night, we support 200 clients impacted by homelessness, domestic violence and systemic disadvantage. Equally, we seek to address the underlying causes of gender-based violence through primary prevention activities to end gender-based violence in a generation. PROGRAM OVERVIEW - ALL IN All In is a multi-year primary prevention of gender-based violence program that works directly with adults. We engage early childhood education professionals, families, communities and other influential adults, giving them the skills, knowledge and confidence to actively challenge gender stereotypes that impact negatively on children in the early years. All in contributes to the primary prevention of gender-based violence in NSW through delivering gender equality and respectful relationships education to influential adults in early childhood education and community settings. It supports the prevention of violence by providing influential adults with practical tools to support children in developing healthy, respectful relationships and valuing people of all genders from their early years. The All In program is a major strategic and policy initiative funded and endorsed by NSW Government under the Pathways to Prevention Strategy 2024-2028. THE ROLE The All In Administrative Assistant role requires a high level of organisation, clear communication and a commitment to working collaboratively in a culturally-responsive way with a diverse and dispersed team. The role provides administrative and operational support to ensure the successful delivery of All In, recording keeping and reporting structures for the team and program. The Administration Assistant is a central point of coordination across the program and team. They will support effective communication between relevant staff and stakeholders. The Administration Assistant is responsible for managing and triaging incoming inquiries from early childhood providers and community partners including playgroups, inter-agencies, local councils and regional services and will sometimes be the first point of contact for external stakeholders from community and sector settings across NSW. The Administration Assistant works collaboratively with others in the All In and Prevention teams coordinating internal and external stakeholder meetings, arranging travel and accommodation, and ensuring smooth delivery of training in early childhood centres and community settings. This role requires attention to detail, a passion for structure, and a good understanding of the challenges that regional communities and services face, including access to technology, equipment, resources, and space (e.g., audio-visual, internet, hard-copy resources, etc.). Reporting to the All In Manager, the Administration Assistant will work closely with the All In team, Early Childhood Centres, external partners, and WAGEC’s internal departments to support the achievement of program milestones and deliverables within scope, time, and budget. Full-time, 12-month fixed-term contract with a view to extend. Based in Redfern/Gadigal Land or the option to work remotely from Regional NSW. Some travel may be required throughout NSW. CORE RESPONSIBILITIES OF THE ROLE ARE - Assist with organising state-wide meetings and consultations, book travel and accommodation, provide excellent customer service as the main point of contact for the program. - Maintain project records, general office operations and team support. - Manage and facilitate the flow of program-related information among team members. - Proactively contribute to WAGEC’s overall culture and impact. ABOUT YOU You will have: - Minimum 3 years in a related Administrative, Operations or Customer Service role - Demonstrated experience managing project plans, schedules, and shared documentation across multi-disciplinary teams - Demonstrated experience managing calendars, inboxes, competing priorities and booking travel itineraries - Direct experience in customer/client services, able to provide excellent interpersonal support - Experienced in providing flexible, adaptable, and proactive team support.
