Reporting to the Project Manager, Construction, the Construction Coordinator is responsible for supporting the construction of all mid and high-rise projects, as well as mixed-use projects nationwide. The role involves managing schedules, budgets, tenders, notifications, approval processes, contracts, change orders, and more.

Duties and Responsibilities

- Arrange all start-up project documentation, prepare subcontracts, POs, change orders, bank draws, site instructions, certificates of substantial completion, and assist with proposals, tenders, and contract management.
- Manage incoming and outgoing correspondence, diarize actions, and ensure timely responses.
- Support SVP of Construction and project teams, including internal organization members.
- Proactively analyze and predict project needs to ensure readiness for meetings.
- Prepare meeting minutes and manage RFI requests.
- Review documents, reports, and correspondence for senior management approval, focusing on format, content, grammar, and spelling.
- Handle invoices, subcontracts, purchase orders, change orders, and other financial documents, ensuring proper collation and processing.
- Build strong relationships with internal teams and external parties such as consultants, contractors, vendors, and inspectors.
- Assist with start-up documentation, including Ministry of Labour forms, insurance, utilities, and utility stakeouts.
- Coordinate site access, schedules, project status reports, and communication of project progress with internal departments.
- Assist in preparing RFPs and tender documents, including analysis and recommendations.
- Ensure proper documentation and processes are followed for each project.
- Set up and coordinate data management folders for project teams.
- Process invoices and payment certificates for approval and submission.
- Assist with budget and schedule monitoring, forecasting, and updates.
- Organize and attend project meetings; prepare minutes in collaboration with the Construction Manager.
- Review project progress, develop deficiency and punch lists prior to turnover.
- Assist with municipal and agency permits and application processes.
- Support project close-out procedures and vendor onboarding processes.

Requirements

- Minimum 1-2 years of construction experience as a project coordinator with onsite experience preferred.
- Understanding of building methodologies, materials, and science.
- Proficiency in Microsoft Office Suite and strong knowledge of MS Project.
- Thorough knowledge of the design and construction of multifamily projects.
- Experience with construction drawings, including architectural, structural, mechanical, electrical, and landscape plans.
- Strong budgeting and scheduling skills, with proficiency in scheduling and project management software.
- Excellent time management, communication, and problem-solving skills, capable of working independently and in a team.
- Valid driver's license, access to a vehicle, and willingness to travel within Victoria, BC.
