APS 5 Secretariat Support Officer
Location: Darlinghurst NSW 2010
Start Date: ASAP (ideally by 4 August 2025)
Contract Length: 12 months, with potential for extension up to 6 months
Employment Type: Full-time
Initial commencement will require five days per week in the office. Following this period, flexible work arrangements will be available, with a minimum of three days per week in the office, subject to consultation with the Manager and Director and based on individual circumstances and operational requirements.
Rate: $60 per hour plus 12% superannuation
Eligibility: Australian Citizens only
About the Role
An independent government agency is seeking an APS 5 level Secretariat Support Officer to join its Office of the CEO. The agency plays a key role in driving improvements in the efficiency and quality of public health and aged care services. It works closely with stakeholders across the Commonwealth, state and territory governments, healthcare professionals, aged care providers, and other sector representatives.
The Secretariat team is responsible for supporting high-level committees and working groups by delivering efficient and professional secretariat and administrative services. The role supports the broader office in achieving its strategic objectives through the coordination of meetings, stakeholder engagement, and process improvement.
Key Responsibilities
- Provide administrative and coordination support for meetings of statutory bodies and committees.
- Manage travel, accommodation, and other logistical arrangements for meetings and events.
- Assist with ministerial and parliamentary correspondence and processes.
- Maintain and improve administrative systems for handling correspondence, document management, data entry, and records.
- Maintain committee membership records and stakeholder contact lists.
- Support communication activities, including distribution list management.
- Liaise with key stakeholders including government officials, industry groups, and service providers.
- Contribute to scheduling and managing the committee meeting calendar.
- Track progress of secretariat-related projects and support the development of project plans.
- Assist in drafting and implementing internal secretariat policies and procedures.
- Support classification system processes and associated documentation.
- Work both independently and collaboratively as part of a small team.

- Strong written and verbal communication skills, including the ability to engage effectively with a range of stakeholders.
- Ability to work independently, take initiative, and manage competing priorities.
- Excellent time management and organisational skills, with a focus on meeting deadlines.
- High attention to detail, with the ability to identify and implement process improvements.
Desirable Experience
- Prior experience in an office support or secretariat role is highly desirable.
