**The role’s key responsibilities**:
As the Executive Support Officer, reporting to the Executive Support Manager you will assist in providing professional and comprehensive administrative support to members of the executive leadership team the by prioritising and coordinating a diverse range of critical issues, services, and projects that ensure the efficient operation of their respective portfolios to meet strategic and operational objectives.

The Executive Support Officer will be responsible for a mix of administrative responsibilities which include:

- Providing executive level support to the leadership team including proactively managing schedules, preparing meeting papers and ensuring the adherence of key deliverables across each portfolio.
- Contributing to projects which support the achievement of organisational strategic and operational objectives.
- Organise and set up Leadership Team meetings, team-building events and conferences which includes all associated logistics within a defined budget
- Undertake administrative activities including but not limited to minuting meetings, preparation of reports and presentations, invoice processing and processing internal expenses.
- Support the Office Manager with office and facilities management support as required, responding to emerging issues, contract management, and budget reporting to ensure effective resolution with mínimal risk to the organisation.
- Working collaboratively with all SERV administrative support roles and when required, providing leave coverage.
- Manage effective and productive working relationships with internal staff at all levels, external vendor/clients and other key stakeholders, and action requests to coordinate communication and proactively ensure responses meet deadlines.
- Comply with policies and procedures related to information security, privacy, risk management and performance management in order to ensure a productive and compliant workplace

- Critical listening skills with the ability to clarify, understand, and efficiently undertake directions
- Well presented, approachable and with a professional attitude
- Stakeholder management and the ability to identify and manage a range of complex and often competing needs
- Contract management to ensure timelines, budgets and other objectives are met and ensures good working relationships exist between stakeholders.
