**About the Role**:
Our client, a large education/membership-based organisation located in Melbourne’s CBD, is seeking an experienced Executive Support Officer to join their team. Here, you will play a critical role in providing high-level executive and administrative support to the Office of the President and CEO, as well as the Executive General Manager of Education and Operations. This is a temporary position with the potential to become permanent for the right person.

**Key Responsibilities**:
- Provide high-level executive support to the President-Elect and Executive General Manager, including drafting correspondence and reports, coordinating meetings and travel arrangements, and assisting in activities during events.
- Act as the primary point of contact for general inquiries and confidential matters.
- Coordinate and administer meetings, including agenda development, action item monitoring, and coordination of submissions.
- Prepare agenda items and reports for various committee meetings, provide advice on approvals and processes to other departments.
- Coordinate the activities of the Members Advisory Council, including logistics management, travel arrangements, budgeting, and preparation of publications and reports.
- Provide support for meetings, including scheduling, note-taking, agenda and document preparation.
- Provide administrative support for projects related to Contracts, Legal, and Governance.
- Provide relief support to the CEO and President as required.
**Ideally You’ll Have**:
- Minimum of 3 years' experience providing executive administrative assistance and support to an Executive or General Manager.
- Excellent interpersonal communication and writing skills, including detailed minute-taking.
- Strong time management, budgeting and planning skills, with the ability to work under tight timelines.
- Sound judgment, professionalism, and the ability to maintain confidentiality.
- Strong attention to detail, flexibility, and a proactive attitude.
- Ability to take responsibility for planning and supporting multi-disciplined workgroups.
- Confidence in dealing with senior executives, committee members, and external stakeholders.
- Initiative and the ability to work independently with limited supervision.
- Availability to work outside of normal business hours and travel as required.
- Qualifications and/or equivalent experience in business administration.
- Experience in the healthcare sector will be advantageous.
