- Provide fast, efficient, and pleasant phone service to external and internal customers.
- Provide assistance to internal staff in the maintenance and management of internal office administration by addressing any queries and placing timely orders for office equipment and supplies to ensure adequate stock levels (e.g., fax, photocopier, milk etc.) and maintain smooth operation of the office.
- Manage distribution of incoming mail and distribute to internal employees as well as the distribution of outgoing packages; mail, documentation etc (as required) to Customers, locations (Courier or equivalent).
- On receipt of bills for general office services (e.g., telephones, energy account, office rent, custom fleet etc), check and prepare timely payslip and issue to Accounting team for processing.
- Manage the scheduling, coordination and prepare payslip of vehicle registration, repair & maintenance for Company vehicles.
- Provide administration assistance and address any queries for the Managing Director.
- Management of office cleanliness and coordinate with building services for Building Management to ensure timely resolution of any equipment or building service-related problems (e.g., Floor Warden and Fire emergency).
- Interface and coordinate archiving of records with external provider to ensure timely collection, registration and storage of archived records.
- Arrange and confirm travel for staff and/or visitors, including flight, accommodation or rental agreement, car rental and other services if requested and approved by suitable manager (such as mobile phone or special requests).
- Manage a system to accurately report on visitors and/or customer under the responsibility of (nationally) for the duration of their stay and provide support to the visitor & Company secretary in the event of natural disaster or emergency to make additional or alternative arrangements.
- Ensure visitors attending Head Office sign-in and a security card is issued. Provide basic information for visitor, such as location of office facilities and notify the party that the visitor has arrived.
- Purchasing and managing of Australian Standards and/or other requested Standards.
- Supporting staff with management and issue of Wireless modems and Mobile phones.
- Supporting staff with management and issue of Fleet vehicles (as required).
- Assisting and/or organizing Company functions (as requested).

**Requirements**:

- Previous working experience in office administration
- Business level of English & Japanese skills
- Strong administrative skills and communication skills
- General IT & PC knowledge
- Flexibility to take on various duties depending on company’s requirement
- Eager to learn new things
- Attention to details
