The Executive Coordinator is responsible for providing senior coordination across the ADF Careers (Adecco) Executive Office, ensuring successful delivery of administration, day-to-day operations, information management, travel and communication.

**Description**

Reporting to the Chief of Staff, The Executive Coordinator is responsible for the flow and optimisation of information in and out of the Executive Office, and working with both internal and external stakeholders to ensure the smooth running of our business operations.

**You will**:

- Coordinate and administer all tasks allocated to the Executive Office.
- Coordinate executive meetings, conferences and off-sites, ensuring expectations are met and delivered to budget.
- Manage scheduling, documentation and minute taking of executive meetings, in line with the Client and Adecco requirements.
- Manage executive responses, coordinating the appropriate input and approvals to ensure timely, accurate and transparent communication.
- Respond promptly to all Client requests for assistance and information, ensuring escalation where required is actioned immediately.
- Coordinate events, with a specific focus on logistics, and collation of presentations on behalf of the Executive Office.
- Coordinate travel and expense management for the Executive Office, ensuring compliance with Adecco's travel and expense management policies.
- Act as the central point of contact for all executive inquiries, connecting requests and queries to the relevant team member, and providing support where required.
- Lead information management for the Executive Office,: ensuring brand compliant templates are utilised and information is stored in accordance with Client and Adecco policy.
- Coordinate all project management actions requiring input from the Eexecutive Office, holding team members accountable for timely and accurate responses.
- Maintain an exceptional level of professionalism and customer service through all interactions with Client, Adecco and other stakeholders.
- Develop, manage and maintain strong client relationship through the provision of services that meet or exceed the expectations of Defence and the DFR Adecco contract, further encouraging a strong and ongoing relationship between Adecco and the Commonwealth of Australia.

**Profile**

To be successful in this role, you will have previous experience working as an Executive Coordinator or similar Business Management role and thrive in a face-paced environment.

**Your background will demonstrate**:

- Superior critical thinking and problem-solving skills.
- Previous experience in an Executive Coordinator / Project Coordinator or similar role.
- Successful use of tools and strategies to achieve superior outcomes through exceptional time management and task prioritisation.
- Demonstrable experience identifying, designing and implementing innovative solutions to maximise operational efficiencies in a business environment.
- An ability to build strong working relationships and influence others in a positive way.
- A positive, can-do attitude, backed by demonstrable experience delivering superior outcomes in a fast-paced environment with complex stakeholder groups.
- A growth mindset and a willingness to lean in and learn
