The opportunity + the role
An exciting opportunity is now available for an Executive Assistant to join our Melbourne office. This role will provide experienced professional support to the General Counsel/Company Secretary and Chief People Officer, as well as other executive leaders. This role is a fixed term full-time position to cover a parental leave contract, however, we are open to discussions around flexibility and remote working arrangements.
During a typical day, you will be responsible for coordinating and managing executive scheduling, preparing and organising important legal and strategic materials and plans. Along with taking the lead on innovative projects and supporting the Company Secretary with Board/Committee meetings you will also be an integrated part of the Human Resources team. You may also be required to provide back-up support to our other Executive Leaders from time to time.
Other responsibilities and duties will include:
- Attending leadership meetings as required
- Liaising with the Board of Directors and Board Committees
- Collating and distribution of Board/Committee papers
- Arranging ad hoc Board and Committee meetings
- Preparing PowerPoint presentations
- Managing expenses and processing invoices
- Coordinating Monthly team meetings, preparing agendas and taking minutes
- Making travel arrangements and detailed travel itineraries
- Ad hoc support to the Leadership teams
- Producing reports and presentations
- Maintaining the current filing systems, and looking for ways to improve current systems
- Taking the lead on process improvements
- Organising events
- General administrative duties
What will you bring?
Ideally, you will have the following:
- Proven experience at PA/EA level in a professional services environment
- Previous experience dealing with Board members and associated tasks
- Excellent communication skills
- Strong attention to detail
- An ability to deal with highly sensitive issues in a confidential manner
- Strong technical skills with the MS Office Suite
- A team player
