**About Brisbane 2032**

The Brisbane 2032 Olympic and Paralympic Games (the “Games”) will be the largest event in South-East Queensland’s history, with the potential to deliver transformational change to our region. As the name suggests, the Brisbane Organising Committee for the 2032 Olympic and Paralympic Games (“Brisbane 2032”) is responsible for organising the Games. Some of Brisbane 2032’s operational responsibilities include: raising revenue through sponsorship, philanthropy, ticketing and Brisbane 2032 merchandise, sourcing the goods and services required to deliver the Games, managing the temporary overlay and operation of the venues, security, recruiting the Brisbane 2032 volunteers and the other elements that bring together the Games itself. Brisbane 2032 will coordinate and track the progress of all Games Delivery Partners and contributors to ensure the delivery of one of the most important events on record for Queensland and Australia.

**About the Position**

The Head of Executive Office (HEO) reports directly to the Chief Executive Officer (CEO) and provides high level executive administrative support to the CEO, as well as other senior Executive leaders including the Chief Games Partner Relations and Operations Officer (COO) and General Counsel (GC).

The HEO is responsible for driving the efficient and effective operation of the CEO and the wider Brisbane 2032 office and will have a proactive approach to meeting the organisation’s requirements and strategic plans. The HEO will support the Executive’s productivity and understand the obligations of the CEO, COO and GC ensuring all are met in a smooth, timely and accurate manner. The ability to coordinate and manage varying expectations, changing daily workflows, stakeholder communications and a growing organisation will be highly attractive for this position.

Your key responsibilities will include, however are not limited to:

- Providing high level comprehensive executive administrative support to the CEO, COO and GC in the form of complex diary management, stakeholder management and engagement, meeting and event planning and coordination, as well as domestic and international travel planning (including flights, transfers, visas and accommodations)
- Act as the first point of contact for the CEO while maintaining a personal brand that reflects the CEO amongst a complex group of stakeholders (including government and business leaders, the International Olympic Committee, Australian Olympic Committee, and Paralympics Australia)
- Overseeing the CEOs mailbox, including actioning and responding to correspondence on their behalf, while raising awareness of high priority communications that require CEO attention
- Support the Director Strategic Engagement, Brand and Marketing Communications to draft and prepare all outgoing correspondence and support the delivery of online media activities on behalf of the CEO
- Coordinating the CEO’s meetings with internal and external stakeholders and ensuring adequate preparation of agendas and briefings
- Support the Director of Governance and International Relations with meeting and event coordination including managing logístical requirements with IOC/IPC, Coordination Commissions, Joint Steering Forums and project review meetings
- Managing travel arrangements and logistics for observer program and other domestic and international engagements with organising committees
- Overall management of the Brisbane2032 offices including parking, office supplies, catering requirements, security services, office reception and guest management, expense reporting, reconciliations as well as development and maintenance of an electronic filing and archiving system.
