The Executive Assistant plays a pivotal role in supporting the Managing Director, ensuring the smooth operation of the Publishing division. This dynamic position involves direct engagement with executive and senior-level stakeholders. We seek an agile, energetic, and passionate individual who thrives on tackling a diverse and exciting range of responsibilities, from coordinating high-profile events to driving internal communications.
This role requires a positive, driven professional who will serve as a key liaison between all cross-functional teams and offices, embodying strong interpersonal skills and impeccable organisation.
**Key responsibilities**:
- ** Provide proactive, strategic support to the Managing Director,** anticipating needs and opportunities to enhance efficiency and effectiveness.
- ** Act as a central liaison** between the Managing Director and all teams.
- ** Manage the calendar with foresight**, balancing demands and strategically planning ahead to ensure smooth operations.
- ** Prepare documents and presentations **with attention to detail and a focus on professionalism.
- ** Coordinate events and meetings**:
- ** Oversee budget-related tasks **with strong organisational skills, ensuring efficient management.
- ** Administer invoices and expenses** promptly, meeting all deadlines.
- ** Coordinate travel arrangements** and detailed itineraries
- Stay across all ongoing activities within the business, acting as the **go-to person for information**:
- ** Promote effective collaboration between cross-functional teams **and offices, ensuring alignment and communication.
- ** Uphold confidentiality **and maintain professionalism in all interactions and responsibilities.
- Proactively **maintain a log of commitments,** ensuring timely follow-ups and strategic oversight of all key matters.
- ** Identify and solve problems, **ensuring smooth office operations and continuously improving processes.
