**Reception/Administration Personnel**
**The Role**
All employees are expected to present a positive and professional image of Empowering Care when interacting with clients, family members, advocates, service providers and the general community. The Reception/Administration Personnel will be a valued member of Empowering Care and will contribute to providing best practice to all people who work and use the services from Empowering Care. The Reception/Administration Personnel will be expected to attend regular staff meetings, continue professional development and assist in policy reviews.
**The Reception/Administration Personnel roles and responsibilities must be performed in line with the Policies and Procedures of Empowering Care.**
**Duties include, however are not limited to.**
- Answering calls, transferring calls to correct personnel where necessary or taking messages and making sure they are passed to the appropriate employees in a timely manner.
- Managing office supplies such as stationery, and order when required
- Filing all paperwork into the appropriate folders
- Maintaining the office environment in a clean and tidy state
- Receiving and unpacking of deliveries
- Assisting with mail as required
- Scan and filing all paperwork into the appropriate folders
- Manage alerts on management systems
- Managing the Key Register and checking petty cash and receipts from STA stays
- Ensuring visitors and staff signing to the office
- Logging in of all Phone Calls received
- Promote empowerment and the right of choice
- Respond to crisis, refer to Employees Handbook and follow the procedure.
- Participate in professional development opportunities and embrace change in line with the principles of continuous improvement.
- To be aware of safe working conditions and implement safe working practices in all work areas
- Report potential hazards, incidents and concerns in a professional and timely manner.
- Maintain current knowledge of all Empowering Care’s policies, procedures and Standard Operation Procedures.
- Checking new employee files (signed contracts etc)
- Preparation of multiple locations paperwork folders (weekly)
- Preparation of induction packs for new employees and participants
- Maintain PPE Inventory
- Maintain Vaccination spreadsheet
- Carry out tasks as per the service delivery provided to the participants by Empowering care authority, and other reasonable duties as instructed by the employer.
- Document all appointments in diary and in management system
- Organize events, both internally and externally such as Xmas party, staff meeting venues etc.
- Greet all visitors, employees and participants.
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Schedule and plan meetings and appointments
- Resolve office-related malfunctions and respond to requests or issues
- Perform ad-hoc administration/office duties when asked by either Manager or coordinators
- Responsible for updating participant and staff files, both hard copy and electronic files
- Types correspondence, meeting notes, and forms among other documents
- Photocopies, scans, and files appropriate documents
- Edits documents for accuracy and maintains accurate records and enters data
- Assisting where able to in technical support.

- The ability to maintain a high level of professionalism and confidentiality.
- Excellent communication skills, both written and verbal
- Ability to work independently and to communicate with a diverse range of people.
- Reliable and honest.
- Well-developed communication and interpersonal skills
- Ability to work both independently and as a part of a team.
- Understanding and adhering to privacy and confidentiality issues.
- Valid Driver’s License.
- A cleared NDIS Worker Screening Check
**Desirable Criteria**
- Previous experience in handling Reception Admin functions
- Excellent understanding of windows and excel software
- An understanding of direct care terminology, relevant to this sector
- An understanding or experience in general accreditation and standards
- Certificate in Administration

**Salary**: $21.00 - $28.00 per hour
Schedule:
- 10 hour shift
- 8 hour shift
- Monday to Friday
- Weekend availability
