**Projects Coordinator**
The Projects Coordinator role at **Allstate Line marking Services** (ASLM) will Coordinate project schedules, resources, equipment, and information whilst driving a high standard of quality. By Liaising with clients to identify and define project requirements, scope, and objectives. They will also ensure that clients' needs are met as the project evolves and all required reporting is actioned and delivered within required timelines. The Project coordinator will lead and coordinate the project from start to end.
**Accountabilities include, but are not limited to**:
- Liaise with other key internal stakeholders (Operations Manager, Lead Estimator, Scheduler) & external stakeholders (Client, suppliers) to manage the concept planning, project design, development, and implementation phases through coordination.
- Monitor and report on project progress against predetermined time, cost, and quality specifications. Complete and oversee quality reporting to the client.
- Coordinate the project team, consultants, and contractors to ensure all members are appropriately skilled and utilised, to ensure deliverable, time and budgetary requirements are met.
- Investigate and resolve complex issues associated with the project to improve overall performance and ensure value for money.
- Prepare and deliver submissions and reports relating to planning and technical issues and identify appropriate mitigation strategies to overcome problems or obstacles related to the project.
- Contribute to public consultation activities and ensure that effective liaison is undertaken with community, governments, and other major internal and external stakeholders.
- Provide specialist advice to Management team on all aspects of the project and deliver technical presentations as required.
- Identify and recommend the necessary internal and external expertise to deliver project requirements.
- Coordinate implementation of the Project Plan in relation to integration, human resources, scope, communication, time, project risk, cost, procurement, and quality. Close liaison with the operations manager, estimator, and scheduler.
- Capture shared project learning's, develop, and foster best practice technology and project coordination methodology within ASLM.
- Identify and build trustworthy networks and alliances of all stakeholders and coordinate the expectations and issues of all parties including identifying possible political and high risk matters to ensure they are dealt with in a timely and professional manner.
- Coordinates and plans delivery through close collaboration with the operations Manager, scheduler, and supervisors that will encourage teamwork and foster a positive attitude towards organisational objectives.
- Ensure all Workplace health and safety regulations are met and delivered through daily toolbox briefs, lesson learnt sessions and works debriefs outlining both positive and negative delivery of works as well as works quality.
- Investigate future works & opportunities through cold calling and industry networking.
**Report/s required**:
- Reports submitted - as per Contract& client requirements.
- Weekly updates on program of works
- Minimum of Fortnightly planning of delivery
This role reports to the **Operations Manager.**
**Duties include, **_**but are not limited to the following**_**:
**Scope**
Ensure all projects are defined geographically and the Line marking requirements are identified prior to first site visit of crews:
- Read each contract.
- What is included - expected from Allstate Line marking
- What is not included - supplied by customer?
- Ensure site inspection/visit is undertaken if required.
- Ensure team project folders include all relevant information.
- Clarify specifications and ensure this is highlighted to crews.
- Clearly identify the scope of works on Job Cards
**Time**
- Ensure the Line marking is delivered as per the customers’ requirements:
- Ensure a program of works (if requested) is created, monitored and updated.
- Ensure resources are available for delivery of line marking.
- Monitor productivity of crews and performance manage as required.
- Ensure mitigation strategy is in place.
**Cost**
- Monitor and report of financials.
- Ensure terms of trade (invoice & retentions) in the system are as per contract.
- Review revenue and expenditure to ensure the project is profitable.
- Manage and resolve aged debt issues with the customer.
- Ensure all actual quantities are collected and entered into the system.
- Ensure statements and or phone calls are completed to retrieve moneys.
- Negotiate all NCR and back charge items to reduce costs.
- Ensure invoicing is completed correctly.
- Ensure Job cards are created with the correct tendered rates and any variation rates.
**Quality**
- Ensure all compliance documentation is completed correctly.
- Ensure day sheets are completed correctly.
- Ensure equipment is calibrated.
- Ensure all tests and measurements for line
