**About the Role**

This role provides executive support that enables the effective operation and running of the office of two General Managers in our People and Communication function. Providing day-to-day support through the provision of planning and administrative support services, taking accountability to deliver on set expectations. The position is being offered for up to 6-month on a fixed term basis.

**Duties**

It’s an exciting time at icare where no two days are the same; in this role, you will:

- Review and track incoming correspondence and enquiries and determine appropriate action to ensure the effective operation of the office of the General Managers.
- Represent the General Managers by obtaining and conveying timely information to internal and external stakeholders and coordinating follow up actions using discretion, initiative and confidentiality to enable highly sensitive matters to be dealt with appropriately.
- Manage the General Manager’s diary and the broader team as required, screening requests for appointments from internal and external sources, negotiating appointment times and resolving diary clashes to ensure urgent matters are given priority.
- Provide administrative and coordination support for events and meetings including logistics related to venue and equipment management, catering, distribution of papers, liaising with internal and external parties and procurement.
- Draft correspondence, agendas, minutes and briefing notes for the General Managers.
- Arrange travel and associated documents to provide efficient coordination of the General Manager’s travel requirements and broader team as required.

**Skills & Experience**
- A seasoned Executive Assistant with at least 5 years of recent experience supporting General Managers and above in a corporate environment.
- Highly proficient in Microsoft Office Suite including Outlook, Word, PowerPoint and Visio.
- Strong written and verbal communication and stakeholder management skills.
- Excellent administrative, planning and coordination capabilities.
- Self-starter, able to operate in and adapt to a fast-paced environment and manage multiple priorities and tight deadlines.
