Title: Administrative Assistant & Operations All-Rounder
Key Responsibilities:
1. Office Administration: Manage day-to-day administrative tasks including answering phones, scheduling appointments, handling correspondence, and maintaining filing systems.
2. Customer Service: Serve as the first point of contact for clients. Address inquiries, provide information about services, and ensure customer satisfaction.
3. Billing and Accounting Support: Assist with invoicing, process payments, and support basic bookkeeping activities.
4. Supply Management: Monitor and order office and field supplies, ensuring the team has the necessary equipment.
5. Project Coordination: Assist in coordinating electrical projects, including liaising with clients, scheduling work, and ensuring deadlines are met.
6. Compliance and Safety: Ensure compliance with industry standards and safety regulations. Maintain updated records of certifications and licenses.
7. Team Support: Provide support to electricians and other field staff, including preparing job briefs and assisting with logístical arrangements.
8. Marketing Assistance: Contribute to marketing efforts, like managing social media accounts, distributing marketing materials, and helping organize promotional events.
Required Skills and Qualities:
- Strong organizational and multitasking skills.
- Excellent communication and customer service skills.
- Basic understanding of accounting and financial processes.
- Proficiency in office software (e.g., MS Office, Google Suite).
- Ability to work independently and in a team environment.
- Knowledge of the electrical industry or willingness to learn.
Education and Experience:
- High school diploma or equivalent; further education or certification in administration, business, or related field is a plus.
- Experience in an administrative role, preferably in a similar industry.
