**The Opportunity**

Our client is a highly successful independent Melbourne-based agency specialising in the sale, leasing and management of Melbourne CBD, metropolitan and regional commercial property.

Their team is highly engaged across Melbourne’s evolving commercial property market, leveraging the founder’s 30 years’ agency and advisory experience. They have an established list of clients that they’ve built great trust in including Private Investors, Property Syndicates, Family Offices, Property Developers and wide-ranging active property funds.

Their boutique size enables them to have genuine, one-on-one personal relationships with the ability to scale-up on an ‘as needed’ basis by partnering with industry experts to ensure they deliver the best outcomes for their clients.

**The Role**

This opportunity would be well-suited for an experienced commercial administrator who is looking to transition into a role as an Assistant Property Manager within a boutique Commercial agency located in the Melbourne’s CBD. The role would offer a chance for the individual to embark on a new career journey while utilizing their existing administrative skills and expertise in assisting in portfolio management and office administration.

You will be kept busy and challenged as you will effectively oversee and manage the day-to-day administration of the office, supporting the Asset Manager and Director and incorporate the following areas:
**Tasks include but are not limited to**:

- Conduct inspections & report to owner/clients as required.
- Engage with suppliers and manage queries relating to management properties.
- Assist in preparation of annual outgoing budgets.
- Managed rental arrears.
- Assist in the preparation of accounts for auditing as required.
- Manage database, mailing lists including EDMs to target markets.
- Undertake tasks such as answering phones, typing, weekly reports & preparing minutes.
- Manage MPBC website listings; RealCommercial, Commercialrealestate & company website.
- Co-ordinate marketing campaigns through the advertising agency; including marketing budgets, invoicing clients, suppliers and following up outstanding accounts.
- Participate in weekly meetings and provide relevant minutes.
- Implementing and maintaining file register system for Leasing, Sales and Management
- Prepare all written correspondence i.e., letters, meeting requests, reports and submissions.
- Manage general bank accounts and MYOB updates.
- Administer current subscriptions, company policies, regular accounts, renewal of annual license & maintain annual accounts.

**About You**

As an experienced real estate professional, you will possess the knowledge and know how to tackle anything this business can throw at you You must have the following attributes:

- Current VIC Agent's Representative Certificate
- Knowledge in GOAT and Surga is an advantage but not essential
- Experience in general office administration, including sales and marketing
- Understanding of Commercial Real Estate, Landlord, and Tenant management
- Ability to work well with small team in a highly energized and dynamic environment
- Professional, organized, and proficient in executing tasks as required
- Ability to multitask to achieve the best outcome
- Timelines and willingness to be flexible to complete tasks
