With several projects underway across Australia, as well as multiple projects at advanced tender stage, we now have an opportunity for a **Mobilisation Coordinator **to join our friendly HR team in Osborne Park.

**ABOUT THE ROLE**:
Reporting to the Executive HR Manager, we are a close-knit team of 10 in HR who deliver results and are very hands on, whilst having good fun along the way. Based out of our head office in Osborne Park, the role will be accountable for all facets of our national Projects requirements in administration support and database management, record keeping and reporting, for the mobilisation and coordination of large volumes of people to site. Key responsibilities include:

- Co-ordinate end to end mobilisation of personnel for all project sites
- Ensure all mobilisations adhere and comply to Whittens Mobilisation Procedure and client requirements and ensure strict compliance of mobilisation documentation
- Ensure all ‘non-negotiable’ mobilisation requirements are met prior to mobilising personnel to site
- Manage the Mobilisation Master List for projects and ensure all data is accurate and up to date
- Action mobilisations in accordance with required timeframes
- Book flights and accommodation in accordance with best fares available and with preferred suppliers and utilise credits where available
- For new projects, support with the development of site-specific procedures for mobilisation including appropriate project requirements are always adhered to
- Conduct weekly mobilisation meetings with site teams to discuss upcoming mobilisations and project requirements
- Conduct mobilisation audits to ensure ongoing compliance
- Draft and issue employment contracts and position descriptions
- Build and maintain strong working relationships with the client, project Team and employees being mobilised
- Support the recruitment team with onboarding of personnel/subcontractors including booking medicals including coal board medicals, collating relevant induction, qualifications and ID requirements
- Act as conduit between project team, recruitment team and mobilisation to ensure timely resourcing requirements are achieved in line with the program
- Attend project site visits as required
- Provide on-call weekend support where required during peak mobilisation periods and/or be willing to work on a roster pattern if required to meet project requirements

**ABOUT YOU**:

- At least 2 years’ experience in a fast-paced **Mobilisation role** within the Construction, Mining or Resources industry
- High attention to detail and data accuracy
- Demonstrated ability to develop Excel spread sheets/matrix’s and utilisation of various databases
- Strong customer focus with the ability to maintain confidential information
- Outstanding interpersonal skills including excellent listening, written and verbal communication skills
- Ability to quickly respond to situations as they arise and work under pressure
- Ability to work to tight timeframes and willingness to support the broader Human Resources team
- Self-motivated and able to use initiative
