Overview

Asset & Facilities Coordinator - Ascot Vale. Location: Ascot Vale, VIC. Employment Type: Full-Time, Permanent, On-Site. BGIS is seeking an Asset & Facilities Coordinator to support the day-to-day delivery of facilities services at an iconic Melbourne events precinct. Based on-site in Ascot Vale, you will play an important role in ensuring facilities run smoothly while producing key performance and compliance reports for both internal and client stakeholders. This role is ideal for someone who enjoys variety, values teamwork in a small and supportive environment, and has a can-do attitude to step in and step up when needed.

Key Responsibilities
  • Prepare and deliver monthly and quarterly reporting (grounds & gardens, compliance, performance, etc.)
  • Manage and maintain CMMS data, work orders, and asset registers
  • Coordinate soft and hard services contractors, ensuring delivery against KPIs
  • Assist with procurement of consumables, purchase orders, and invoices
  • Support facilities inspections, audits, and compliance requirements
  • Build strong working relationships with colleagues, clients, and subcontractors
  • Provide general administrative and operational support to the Account Manager and Facilities team
Education, Experience & Skills

Essential

  • Experience in facilities coordination, administration, or reporting-heavy roles
  • Proficiency with Microsoft Excel, Power BI, and other reporting tools
  • Strong organisational and communication skills
  • Ability to work collaboratively in a small team environment
  • Full working rights in Australia

Desirable

  • Background in facilities management, property, or corporate real estate
  • Experience using Computerised Maintenance Management Systems (CMMS)
  • Exposure to contract compliance or KPI reporting
Workplace Flexibility

This position is Full-Time On-Site, based on-site at Ascot Vale. The location offers free on-site parking and is close to public transport for easy commuting.
