About the Company & Role
Our client is a NFP organisation providing support services across Australia. As a Facilities Coordinator, you will manage day-to-day maintenance requests, coordinate contractors, and support the smooth operation of a diverse property portfolio to ensure safe, compliant, and well-maintained environments.
Duties
Within this role, you will be responsible for:
- Acting as the first point of contact for all facilities-related queries, managing the facilities inbox and phone line, triaging requests as they arise.
- Logging, prioritising, and assigning reactive and planned maintenance tasks while liaising with internal stakeholders and external contractors daily.
- Following up on outstanding work orders, troubleshooting issues, sourcing alternative service providers when needed, and maintaining accurate maintenance records.
- Ensuring contractor documentation is up to date and essential safety measures and compliance obligations are met.
- Supporting the delivery of refurbishments, relocations, and minor works while maintaining compliance and service activity documentation.
- Processing facilities-related invoices and maintaining asset and key registers.
- Assisting with maintaining records for compliance and ensuring timely completion of activities related to facilities.
- Coordinating contractors, addressing maintenance requests, and ensuring smooth execution of tasks across multiple locations.
- Supporting general office coordination tasks, contributing to a safe, efficient, and well-maintained environment across all sites.
Skills & Experience
- 2+ years' experience in facilities coordination, property maintenance, or a related role
- Proven ability to prioritise and manage multiple maintenance requests across different sites
- Strong understanding of property maintenance, compliance requirements, WHS, and lease obligations
- Experience engaging and coordinating contractors, trades, and service providers to meet service standards
- Confident communicator with the ability to manage stakeholders professionally and calmly
- Highly organised, proactive, and solutions-focused, with strong administrative skills
- Comfortable using maintenance/FM systems to log, track, and report on work orders
- Able to work independently as well as collaboratively within a team environment
Willingness to travel to sites when required (pool vehicle provided)
Experience in not-for-profit/community environments desirable
- Current Working with Children Check and NDIS Worker Screening
