You will be a strategic partner who provides high level, efficient and professional administrative support to ensure the smooth functioning of organisational operations. You will build a strategic partnership and be valued across the function, using exceptional organisational and proactive skills to ensure deadlines and actions are met. This role involves managing complex administrative functions, participating in business initiatives as required, and maintaining effective communication with internal and external stakeholders. This opportunity supports flexible work arrangements, including options like a 9-day fortnight and hybrid work model. This role is available at either our Liverpool St office in Sydney or Bourke St office in Melbourne.

Key responsibilities will include:

  • Providing confidential administrative support, including inbox management, diary management, filing, preparation, collation and distribution of documents, reports, correspondence and meeting minutes
  • Creation of presentations, including All Hands and Town Hall, monthly DDC Portfolio and Operational PowerPoint packs
  • Scheduling and coordinating internal and external meetings and conferences including catering, presentation material and logistics
  • Assisting in forward planning to provide relevant preparation materials/pre-briefs for meetings
  • Co-ordinating VIP and general visits for the line manager including logistics of meeting rooms, presentations, listening forums, site access and catering as required
  • Organising domestic and international travel including flights, hotels, transfers, per diem and visit requirements for senior leaders, ensuring bookings align with Company policy and completing monthly credit card acquittals
  • Lean in and provide support to Lead Team members as required
  • Build strong relationships and provide support to the Administration team within the function
  • Ad-hoc tasks as required

About YOU

  • Previous experience in a similar role in the professional services space
  • Ability to contribute in a team environment, providing support to meet deliverables and adding value in a collaborative environment
  • Motivated self-starter with excellent time management skills to manage multiple priorities under broad direction and tight deadlines
  • Adept at building and maintaining excellent relationships with internal and external stakeholders
  • Sound written and verbal communication skills
  • High attention to detail and strong organisational and problem-solving skills
  • Proactive thinking and a lean-in approach
  • Computer literacy with intermediate knowledge of MS Suite and SharePoint; familiarity with Concur and Oracle is desirable
