As we continue to grow, we're seeking an organised and proactive Operations Team Coordinator to play a vital behind-the-scenes role in supporting operational excellence across our national village network.

About the Role

Reporting to the Chief Operations Officer, this is a key coordination role that ensures our operations team functions smoothly, efficiently, and to the highest standards. You'll provide high-level executive support to the COO, manage core business processes and documentation systems, and facilitate the delivery of critical team meetings, forums, and reporting.

From shaping internal communications and overseeing governance documentation to managing process integration and supporting the Operations Leadership Team, you'll help keep everything running like clockwork.

Key Responsibilities

  • Provide Executive Assistance to the COO, including calendar, travel, board reporting, presentations, and email management
  • Coordinate regular operations meetings and forums across the business
  • Manage the Operations Quality Documentation and RL Hub (SharePoint), ensuring all processes, policies, and templates are accurate, compliant, and up to date
  • Own the resident journey documentation and ensure integration into business-as-usual practices
  • Support project delivery, state forums, and the annual Retirement Living Council Census
  • Oversee Melbourne office operations, including amenities, invoices, contractor liaison, and staff onboarding / offboarding
  • Collaborate with cross-functional stakeholders to improve processes, enhance communication, and drive a high-performance culture

About You

You're a natural organiser and problem-solver, with an eye for detail and a calm, professional presence. You thrive in a fast-paced environment and take pride in keeping others informed, supported, and equipped to succeed.

What you'll bring :

At least 3 years' experience in high-level administration or coordination rolesStrong skills in document management, executive support, and business reportingExperience maintaining SharePoint and proficiency in Microsoft OfficeConfidence engaging with senior stakeholders and managing confidential mattersA collaborative, solutions-focused mindsetExperience in retirement living, aged care, or property (desirable but not essential)
