Overview

The Program Coordinator - Change and Transformation (Fixed-term Contract) will provide administrative and operational support to the Program Management Office (PMO) for large-scale strategic projects. This role requires a highly organized and experienced individual to support the planning, execution, and governance of programs, ensuring alignment with organizational objectives and delivery of outcomes. This role can be based in Sydney, Melbourne, Adelaide or Brisbane and is a hybrid role requiring at least three days in the office per week.

Responsibilities
  • Establish and role model program governance. Establish and maintain robust governance frameworks, including policies, procedures, and reporting standards to ensure consistent program execution and compliance.
  • Be proactive in planning & scheduling: Develop, maintain, and monitor detailed program plans, timelines, and milestones, ensuring alignment with organizational goals and resource availability.
  • Facilitate stakeholder management: Act as a central point of contact for program stakeholders, facilitating effective communication, managing expectations, and providing regular updates on progress, risks, and issues.
  • Facilitate Risk & Issue Management: Identify, assess, and escalate risks and issues proactively, implementing mitigation strategies to minimize impact on program delivery.
  • Lead Resource Coordination: Support resource planning and allocation across workstreams, ensuring optimal utilization and addressing capacity constraints.
  • Manage Financials: Assist in budgeting, financial tracking, and reporting to ensure the program remains within scope and budget.
  • Lead Reporting & Documentation: Prepare and present comprehensive status reports, dashboards, and documentation for senior leadership and governance bodies.
  • Provide Quality Assurance: Monitor quality standards and ensure deliverables meet organizational and stakeholder expectations.
  • Identify Continuous Improvement: Identify opportunities for process improvements within the PMO and program delivery practices.
Qualifications
  • 10 years' experience working within a project management discipline
  • Minimum 5 years of experience in program or project coordination, preferably within a consulting or corporate environment
  • Certification in Project Management (e.g., PMP, PMBOK, PRINCE) is a plus.
  • Proven experience in a PMO role within large, complex or multi-year programs including demonstrated leadership in driving program success through effective coordination and governance.
  • Strong organizational, communication, and stakeholder management skills.
  • Ability to manage multiple priorities and adapt to changing project needs.
  • Proficiency in project management tools and methodologies.
  • Expert in MS Office Suite and collaboration tools such as Teams and SharePoint
  • Proven experience in producing high quality project communications and presentations
