Are you an experienced and organised administrator looking to make a meaningful difference in the lives of older Australians? Join Royal Freemasons as a Senior Administration Officer supporting our Community Services and Independent Living Units (ILUs) programs.
About the role
As the Senior Administration Officer, you will play a key role in providing high-level administrative and operational support across our Community Services and ILUs. This is a dynamic position that requires a proactive and detail-oriented individual with a strong customer focus and a passion for supporting older people to live well and independently.
Key responsibilities
- Coordinate and oversee day-to-day administration for Community Services and ILU operations.
- Maintain accurate resident and client records, databases, and compliance documentation.
- Assist with onboarding of new employees and support the employee lifecycle
- Provide high-quality customer service to residents, clients, families, and internal stakeholders.
- Support financial processes including invoicing, reconciliations, and budget tracking.
- Prepare reports, correspondence, and documentation for management and regulatory purposes.
- Collaborate closely with team members and external service providers to ensure service excellence.
Qualifications, knowledge and requirements required for the role
- Proven experience in a senior administrative or office coordination role, preferably in aged care, community services, or housing.
- High-level computer literacy, including Microsoft Office and client management systems
- Exceptional communication and interpersonal skills.
- Strong organisational skills and the ability to manage competing priorities.
- Understanding of the Aged Care Quality Standards and client privacy/confidentiality requirements.
- Ability to work independently and as part of a multidisciplinary team.
Other requirements
A current, full drivers licence for the State of Victoria which is appropriate for the type of vehicle being driven and comply with any restrictions on their licence (e.g. wearing glasses).
It is a mandatory requirement when working in the Aged Care sector to have a valid Police Clearance or National Disability Insurance Scheme (NDIS) Worker Screening Clearance, or potentially both, to undertake the inherent requirements of this role.
All aged care workers are encouraged to be vaccinated against Covid-19 (3 vaccines) and receive the Flu-Vaccine.
