Position Purpose
The Box Office & Room Services Coordinator oversees daily operations at Bay Pavilions, ensuring excellent customer experiences. This role collaborates with theatre and customer service teams to deliver service excellence, maximize sales, and foster customer relationships, contributing to revenue growth through outstanding service and relationship management.
Key Responsibilities
- Coordination of Room Services
- Manage conference and studio rooms, ensuring cleanliness and professionalism.
- Respond promptly to hire inquiries and improve service standards through feedback.
- Handle administrative tasks for events and conferences.
- Coordination and Operation of Box Office
- Oversee daily Box Office operations and supervise staff.
- Resolve customer complaints efficiently.
- Ticketing Functions
- Manage ticket sales via phone, counter, and online.
- Communicate with stakeholders regarding ticketing details.
- Print and distribute tickets timely.
- Process sales accurately and capture customer data for marketing.
- Upsell and cross-sell based on customer needs.
- Finance
- Generate and send invoices; collaborate with finance team for payments.
- Advertising & Marketing Support
- Maintain website information and promote events.
- Assist in creating advertising displays and update digital signage.
- Reporting
- Provide regular performance reports on ticketing and occupancy.
- Manage customer databases.
- Theatre & Customer Service Support
- Liaise with groups, provide tours, and promote facility usage.
- Assist with event setup and quotes, support teams as needed.
- Leadership & Service Standards
- Model organizational values, manage rostering, and act in the best interest of Aligned Leisure and council.
- Customer Service Excellence
- Deliver memorable experiences and uphold the customer charter.
- Work flexible shifts including mornings, evenings, and weekends.
Essential Qualifications & Experience
- Exceptional customer service experience
- Sales and marketing experience
- Leadership experience
- Current working with children check
- Experience in ticketing or theatre/conference coordination (desirable)
- First aid and CPR qualifications or willingness to obtain
