The Role

Responsibilities- Promote a culture and supporting practices that reflect the organisational values through demonstrated behaviours
- Interact with patients/clients/employees
- Accurate, timely typing of clinical correspondence
- Scanning, photocopying, filing and faxing duties as necessary
- Drafting administrative correspondence
- Organising travel and conference attendance for Department heads and senior clinicians as required
- Support staff recruitment processes
- Minute-taking as necessary
- Organise teleconference and video conference facilities
- Schedule and coordinate meetings as requested
- Respond to a range of enquiries (in person and over the phone) and provide information or referrals
- Deliver high quality customer service
- Respond to administrative enquiries from other departments and management
- Undertake duties relating to internal and external referrals as part of patient care, as required
- Draft accurate and concise reports, documents and correspondence, including the preparation of complex documents
- Maintain clinical information systems and manage files to support clinical activities
- Provide cover in frontline reception settings as required
- Maintain personal and professional development through training and performance reviews
- Perform other duties appropriate to the level and responsibility of the position as directed by the Manager or other authorised staff
- High level organisational skills with the ability to prioritise work in a high-volume environment
- Previous administration or secretarial experience with fast and efficient typing
- Effective written and verbal communication and strong customer service skills
- Ability to work unsupervised and as part of a team
- Well-developed Microsoft Office skills (Word, Excel, Outlook, PowerPoint) and knowledge of patient administration systems
- Experience in a healthcare setting with knowledge of medical terminology, or willingness to develop this
- Ability to be compassionate and maintain confidentiality
- Ability to perform a wide range of administrative tasks and adapt to different areas
