We have an open vacancy for an ongoing, full-time, Grade 3.2 Executive Support Officer starting from Monday 8 January 2024.

About the role The Executive Support Officer works to deliver high-level executive, administrative and support services, often of a confidential nature, to the Clerk, Deputy Clerk and the Assistant Clerks of the Legislative Council.


Key responsibilities:

  • Process member allowances claims and administer systems associated with the recording, tracking, publication and reporting of allowances for Legislative Council Members at the direction of the Deputy Clerk.
  • Administer the processing of invoices related to services provided, preparation of FBT forms as needed and corporate card reconciliation, assist the Deputy Clerk with management of supplier contracts as required.
  • Provide a range of administrative supports to the Clerk, Deputy Clerk, Assistant Clerks and Usher of the Black Rod as required.
  • Provide support to the Clerk of the Parliaments and the Usher of the Black Rod in delivery of requirements associated with the Commonwealth Parliamentary Association and Parliamentary twinning relationships, including secretariat, administrative support, liaison and coordination services.
About you
You will have demonstrated ability and experience in the provision of high-quality executive and administrative support to senior management, alongside:

  • Excellent administrative, computer, organisational and time management skills.
  • Sound interpersonal, communication, and collaboration skills to ensure relevant and timely engagement with others in delivery of coordination and information gathering requirements.
  • Welldeveloped written communication skills and proven experience in the preparation of reports, minutes, and briefings.
  • Proven ability to be proactive, show initiative and work effectively with mínimal supervision and as a constructive member of a small team.
