Personal Assistant - Full time / Permanent

Our client, a fast-growing food restaurant chain, with over 20 locations across Melbourne and expanding throughout Australia are seeking a dedicated Personnel Assistant to support the Manager Director.


As a Personal Assistant, you will play a pivotal role in providing administrative support to the Managing Director and other team members as required.

Reporting directly to the Managing Director, you will become an essential part of our Corporate Team. This is an exciting time as the organisation are going through a hyper growth phase.

Key Responsibilities:

  • Provide highlevel Personal Assistance with utmost attention to confidentiality and sensitivity to tasks.
  • Support the Managing Director, which may involve occasional weekend and afterhours work.
  • Act as the primary point of contact for callers and visitors.
  • Prioritise and filter incoming information, ensuring executives are informed about critical matters.
  • Manage diary/calendar efficiently, scheduling meetings, appointments, and events to optimise time.
  • Coordinate and prepare for meetings, ensuring necessary materials and information are available in advance, taking minutes, and following up on action items.
  • Handle endtoend travel management, including booking flights, accommodation, transportation, and creating detailed itineraries.
  • Manage expense reconciliation.
  • Prepare and review reports and presentations.
  • Maintain databases and filing systems.
  • Liaise with internal and external stakeholders.
  • Assist other team members with administrative tasks as delegated by the Managing Director.

The Successful Applicant:

Skills/ Capabilities/ Experience Level:

  • Minimum 23 years of experience as a PA providing highlevel executive support in a fastpaced environment.
  • Proactive problemsolving skills with the ability to work autonomously while knowing when to seek guidance.
  • Selfdriven and adept at multitasking with a keen eye for detail.
  • Excellent planning and organisational skills with flexibility.
  • Strong communication skills, both written and verbal.
  • Comfortable handling sensitive information with a high level of confidentiality.
  • Solutionsfocused with the ability to make sound decisions.
  • Positive attitude, enthusiasm, flexibility, and a growth mindset.
  • Current driver's license (nice to have).
