Student Administration at The University of Notre Dame Australia provides expertise, service and operational support across a broad range of student administration, student service and key regulatory, policy and compliance functions that support the academic decisions of the Faculties, Schools and other relevant departments at the university.


ABOUT THE ROLE
Seeking an experienced timetabling administrator to join the team in Sydney on a fixed-term contract until July 2023.

Reporting to the Timetabling Coordinator, this role is responsible for contributing to the delivery of timetabling services across all campuses of the University.


Key responsibilities include:

  • Oversee the timely and accurate production of a multicampus timetable (including examinations)
  • Prepare, publish and maintain the official University timetables, including liaising with Schools and Offices to create, revise and upload course offerings in PeopleSoft Campus Solutions (PSCS), create classes, as well as publish census and penalty dates
  • Support the university enrolment process ensuring that courses are timetabled to accommodate student preferences, where possible, and to create and maintain the academic calendar of teaching sessions
  • Support the admissions processes of the university, ensuring that course preferences for students link to admission timelines, enrolment scheduling and course governance
  • Ensure that rooms are allocated to achieve maximum usage capacity and that scheduling conflicts are resolved appropriately
  • Provide ongoing training, support, and system access to School and Faculty staff involved in timetabling, including the effective use of the timetabling systems
  • Monitor room usage, class sizes, building capacities and producing timetablerelated statistics and course offerings data in conjunction with Schools and training staff in relation to Commonwealth Department of Education requirements

YOUR CAPABILITY

  • Completion of a degree OR an equivalent combination of relevant experience and/or education/training
  • Demonstrated administration experience, preferably in the education sector
  • Experience using large scale systems, databases, spreadsheets and wordprocessing software including data extraction and report presentation
  • Excellent time management and organisational skills, with the ability to manage multiple tasks, prioritise work, meet tight deadlines and maintain accurate records
  • Ability to collaborate across multifunctional teams, providing a high level and responsive service
  • Demonstrated analytical and problem solving skills including strong attention to detail
  • Proven ability to work independently and as part of a team
  • Demonstrated interpersonal skills, including the ability to communicate with stakeholders at all levels and establish effective professional relationships
  • Ability to exercise judgment, initiative, diplomacy, tact and discretion as well as proven experience handling sensitive and personal information in a confidential and appropriate manner
