Overview


The Program Support Officer(s) will be responsible for assisting the upgrade and compliance project team as required in the effective and efficient delivery of the Compliance Programs(Fire Safety / Property Assessment Survey / Detailed Property Assessment Surveys and Change of Use programs) and Upgrade works.

This team will also respond to any ad hoc requests and provide assistance for program or project related to compliance, and upgrade works.


Key Accountabilities

  • Contribute to the implementation and coordination of compliance and upgrade related work that deliver effective business unit outcomes and meet client service delivery needs.
  • Follow instructions to effectively and efficiently prepare project reports and documentation for Manager(s), auditors, project officers and key stakeholders to communicate a range of matters related to compliance and upgrade works.
  • Develop, manage and maintain large property databases and spreadsheets related to the compliance and upgrade programs and continually update the project statuses in a systematic and accurate manner.
  • Coordinate with the other key stakeholders such as staff and external contractors in regards to the nonaccess issues related to the compliance and upgrade programs.
  • Participate and provide input to research and projectdriven assistance and support for auditing processes, plans and procedures to contribute to enhanced practice and continuous improvement.
  • Provide project information, support, identification and notification of issues/complaints and report as needed on process awareness to assist the compliance and upgrade team(s) to work effectively with new suppliers, contractors, and consultants as required to ensure client satisfaction, timeliness and efficiency in project delivery and implementation.
  • Provide assistance to the Managers, Project Managers and Project officers within the compliance and upgrade teams in order to create new vendors, raise purchase orders and collate and process invoices accurately using the insititution's financial systems and processes within the strict timeframes.
  • Draw and provide accurate reports on the financial and physical status of the compliance and upgrade programs using the corporate systems.
  • Accurately complete particular aspects of projects and implementation to ensure successful project milestones are met.
  • Maintain a working knowledge of the various compliance and upgrade programs in the organisation and an operational awareness of the administrative processes, systems, technology, approaches, requirements and stakeholders associated with the programs.
  • Participate in the training programs to enhance and continuously improve the operational knowledge of new and improved systems & technology.
  • Deliver project progress information, reports, commentary and solutions to compliance project issues to key stakeholders in a manner that contributes to positive relationship maintenance and supports an ongoing effective and efficient working environment.

Essential Requirements

  • Relevant administration/business qualifications in office management and senior administration roles. Ability to take reasonable care for your own health and safety at all times and not adversely affect the health and safety of other people.
  • Ability to comply with any reasonable instruction and cooperate with any reasonable health and safety policy or procedure.
  • Ability to report workplace hazards.
  • Ability to complete WHS induction training.
  • Ability to report all workplace hazards, incidents and near misses.
  • Ability to participate in the WHS consultative process.
