The Catholic Schools Office (CSO) is responsible for the leadership, operation and management of systemic schools which educate more than 21,000 students in 44 primary schools, 11 secondary schools, one K-12 school, one flexible learning centre and one special school in the Catholic Diocese of Maitland-Newcastle.


POSTION DESCRIPTION


The Administrative Assistant - Learning and Wellbeing provides administrative support to the Learning and Wellbeing team, working closely with other team admin assistants, the Assistant Head Learning and Wellbeing, the Leader, Student Learning and Wellbeing, the Leader, School Counselling and their teams.

The Administrative Assistant supports the delivery of service in response to school requests and student referrals.


This role may be the first point of contact for schools, including Principals, School Counsellors, Learning Support Coordinators and Learning Support Teachers regarding students that need additional support.


The key responsibilities of this role are:

  • Supporting the coordination and allocation of the NCCD funding to schools throughout the year.
  • Supporting the team's transition to wholly digitised file management system (active and archived files).
  • Processing and managing accounts/subscriptions/membership payments through TechOne.
  • Completing a range of administrative support services to facilitate the operation of the Learning and Wellbeing Team.

Criteria/experience

  • Ability to articulate a clear understanding of and a personal commitment to Catholic education and the mission of the Church through Catholic schools
  • Demonstrated ability to work within a team, manage multiple projects with competing priorities, deliver expected outcomes within set timeframes, prioritising and meeting deadlines, and working unsupervised to meet team objectives.
  • Advanced digital and desktop publishing skills (all Microsoft Office programs), and ability to use data and analytical programs (including Excel) and survey tools.
  • Strong conceptual, analytical, and problemsolving skills and the ability to develop and implement practical and workable solutions in a large and complex organisation in line with CSO standards, policies, and procedures.
  • Ability to collaborate to support the establishment of team protocols that support accurate record keeping and file management and maintain a high level of confidentiality.
  • Excellent written communication skills, strong verbal communication skills and interpersonal skills with demonstrated ability to respectfully establish and manage relationships with people at all levels to promote consensus, forge partnerships and build trust through consistent actions, values and communications.

Qualifications/Accreditations

  • Relevant tertiary qualifications (Business degree or Diploma level qualification in relevant field) or relevant industry experience
  • Current paid NSW Working with Children Check (WWCC) number
  • Current driver's license.

CONDITIONS OF EMPLOYMENT
Salary is in accordance with Catholic Schools Office, Diocese of Maitland-Newcastle Employees Enterprise Agreement 2019.
