We have an exceptional opportunity for an experienced administrator to work for a small but highly successful business based at Rothwell.
This role is perfect for an administrator who has worked in a small business where you have been that true go-to and performed a broad role, preferably in the Construction or Building related industry. Your ability to put processes and structure in place will add to your success and be an amazing help to this growing business.
Duties include but are not limited to:
- Liaising with Manager, customers, suppliers and tradespeople
- Answering incoming calls
- Put together As-Built Manuals for each project
- Set up and maintain job folders
- Print out plans, do up safety statement documents and bind
- Data entry and use of Simpro ensuring accurate details recorded
- Update prices within Simpro
- Data entry of Job Sheets
- Check all staff licences remain current
- Go to Office Works and do printing of plans
- Assist with compliance for testing equipment – download results, create a spread sheet and place in manuals then send to clients
- Electronic filing and Document scanning
- Ordering of office supplies, uniforms and at times assist with order of materials for jobs
- Prepare quotes and assist with responding to tenders
- Assist with preparation of contracts
- Keep track of Job Costs or other reporting for the owner as required
- Work closely with the team to ensure correct details and paperwork received (eg job sheet, test sheet and full details recorded)
- Implement better processes and procedures within the office
- Possibility may assist with payroll or other functions in the future
- Ad hoc administration tasks

The ideal candidate will have the following skills and attributes:
- Happy to perform plenty of data entry, scanning, photocopying and basic but important administrative tasks
- You have a friendly disposition, positive attitude and a great sense of humour
- Strong organisational skills and attention to detail
- Experience in Simpro a bonus but not essential
- Strong work ethic and attitude – for this team, attitude is everything
- Solid skills in MSOffice (Word, Excel and PowerPoint) and accurate typing/data entry skills
- Experience in Construction, Building, Trade or Project Administration experience preferred but not essential
- Seeking part-time hours 3 days per week or open to short days 4-5 days per week
