The Role:

We are seeking a highly organised and detail-oriented Executive Assistant to support our Chief People Officer. In this role, you will manage schedules, coordinate meetings, handle communications, and perform various administrative tasks to ensure a smooth operating rhythm. You will utilize your strong organisational and communication skills, proficiency in Microsoft/Google Suites, and have the ability to manage confidential information with discretion to deliver on business requirements whilst promoting a positive team culture.

Accountabilities:

  • Provide executive administrative and office management support to the CPO, creating an open, accessible environment with efficient, proactive issue resolution.
  • Proactively establish and manage a smooth and efficient operating rhythm for the CPO including meetings, diary management and occasional local and international travel itineraries.
  • Prepare correspondence, emails, memoranda, presentations, analysis, reports and papers on behalf of the CPO at times managing complex, confidential and sensitive information.
  • Manage telephone calls, field inquiries, emails, letters and requests and use judgment to escalate urgent matters.
  • Ensure information is in place for meetings including a clear meeting purpose, agenda, pre-reads, reporting, action follow up and papers. Proactively advise stakeholders of changes to plans and/or delays.
  • Present a positive and professional image to all employees, visitors and customers.
  • Plan, organise and run events while managing all project delivery elements within time limits, as required.
  • Assist the CPO and People & Culture leadership in employee engagement activities and promote a positive team culture.

Qualifications & Experience:

  • Previous administration experience with a willingness to learn.
  • Genuine interest in growing your career in an environment that seeks to deliver exceptional customer outcomes.
  • Ability to proactively establish priorities, anticipate needs and use sound judgment to manage complex, confidential and sensitive activities.
  • Resourceful and logical thinker with excellent attention to detail.
  • Proven organisational and time management skills.
  • Enthusiastic self-starter with an excellent ability to multitask, prioritise and work under pressure.
  • Strong interpersonal and influencing skills with the ability to build and maintain relationships across all levels of the organisation, as well as the ability to effectively engage directly customers.
  • Strong written and verbal communication skills.
  • Advanced skill level in Microsoft applications (Word, Excel, PowerPoint and Outlook) and office management software (travel, expenses etc).
  • Ability to work autonomously and as part of the broader Executive Assistant team.
