The Faculty of Science teaches approximately 7000 full-time student equivalents, with an academic staff of approximately 500 and general staff of 300. The Faculty is one of the largest and most complex faculties of UNSW Sydney. It comprises the School of Aviation, Biological Earth and Environmental Science (BEES), Biotechnology and Biomolecular Sciences (BABS), Chemistry, Materials Science and Engineering (MSE), Mathematics and Statistics, Psychology, and Physics. It also includes several major Research Centres and field stations.

The Project Administrator provides effective day-to-day administrative support within the Faculty of Science. This role assists with the ongoing development, delivery, and evaluation of initiatives to support the Faculty of Science’s strategic priorities. The Project Administrator will support teams within the Dean’s Unit and key stakeholders through practical and efficient project assistance.

Key responsibilities include coordinating and managing the general administration of projects, providing project support, reporting and analytical assistance, developing communications, and maintaining key internal and external relationships.

About the role

  • $82k - $93k plus 17% Superannuation and annual leave loading
  • Fixed Term – 12 months
  • Full-time (35 hours per week)

The role of Project Administrator reports to the Senior EDI Project Officer, supporting the EDI Project team as well as the Faculty Executive teams. This role has no direct reports.

Specific responsibilities for this role include:

  • Support the delivery of Faculty projects and initiatives to achieve operational and strategic goals.
  • Provide practical and proactive project support and administrative services to project teams and stakeholders.
  • Provide assistance with multiple projects, as and when required in a high workload and sensitive environment.
  • Undertake project administration including developing project plans and schedules, coordinating workshops and meetings, managing assigned actions and follow-ups, and project status reporting.
  • Assist in the delivery and evaluation of strategic Faculty initiatives including the delivery of outreach events for broad audiences, including high school students.
  • Assist in tracking expenditures against defined budgets.
  • Assist with the development and management of effective communications with key stakeholders including through newsletters, the Faculty intranet, and website.
  • Draft agendas, correspondences, briefing notes and room bookings as required.
  • Support continuous business improvement through proactively identifying operational solutions and streamlining processes.
  • Work collaboratively as part of a wider team to design and implement Faculty projects and initiatives to achieve operational and strategic goals.
  • Align with and actively demonstrate the UNSW Values in Action: Our Behaviours and the UNSW Code of Conduct.
  • Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.

About the successful applicant

To be successful in this role you will have:

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination or education, training, and experience.
  • Project support experience, with an understanding of the project life cycle and development of project plans, objectives, and documentation.
  • Excellent written and verbal communication skills, with a high level of attention to detail and the ability to liaise effectively with a range of stakeholders.
  • Experience tracking expenditures against budgets, and evaluating data is highly desirable.
  • Demonstrated ability to navigate administrative processes in a complex environment, problem solve, and handle highly sensitive information with discretion and integrity.
  • Highly developed organisation, administration, time management and problem-solving skills, with the ability to manage multiple projects, work well under pressure, and meet competing deadlines in a high-volume environment.
  • Demonstrated ability to work collaboratively and productively within a team but also to take initiatives and work independently.
  • Demonstrated experience working with a range of computer systems, applications, and platforms (Teams, Sharepoint, Outlook, Excel, One Drive, PowerPoint, Eventbrite).
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training
