Our Maintenance and Industrial Services division specialises in the planning, management and execution of maintenance, shutdowns and sustaining capital works. We have an opportunity available in our Energy division for a Project Administrator and Training Administrator. Both positions are full time permanent roles based in our Victoria Park office.
Responsibilities:
Project Administrator:
- Work closely with site representatives and recruitment team to offer a seamless on-boarding and mobilisation process to our employees.
- Organising flights, accommodation, training, and inductions to ensure all candidates are compliant prior to mobilisation.
- Provide a high level of customer service to internal and external customers.
- Preparing and maintaining accurate information and correspondence
- Reporting to effectively manage compliance.
- Monitoring Training Needs Analysis and Compliance audits for Division as required.
- Assisting with payroll queries and leave requests
Training Administrator:
- Providing a broad range of high-level admin services including word processing, data entry, preparing correspondence, templates plus the control and management of training documentation.
- Schedules, coordinates and assists in the organisation of training events including venue selection/ hire, equipment and travel arrangements.
- Providing project support, coordination and management of external training events and vendor mobilisation to site.
- Financial admin of PO’s, credit card reconciliation, budget reconciliation, procurement and commercial administration.
- Assisting in maintaining and updating LMS processes and policies.
- Liaising with business areas regarding training queries –face to face, phone calls and via email
- Working with very high volumes of mobilisation of workforce employees within a fast turnaround time
- Provide a high level of customer service to internal and external customers
- Reporting to effectively manage compliance
- Monitoring Training Needs Analysis and Compliance audits for Division as required.

What you will bring
- Demonstrated experience in a high volume admin environment
- Resources experience is desirable but not essential as we encourage applicants from all industries
- Experience with Dynamics 365 is mandatory
- Excellent administration skills with a high level of organisation
- The ability to prioritise workload and produce work of a high standard
- Excellent verbal and written communication skills with the ability to foster interpersonal relationships across all levels
- Ability to work autonomously as well as within a collaborative team environment
- Flexibility to adapt to changing priorities
