Primary Purpose To provide a range of administrative and support services to facilitate business operations, projects and service delivery.
Key Accountabilities The Membership and Projects Officer will: provide professional and courteous service to all Festival City ADL members and stakeholders; act as a first point of contact by responding to enquiries; escalate and redirect issues as required; transfer relevant information to the Chief Executive in a timely and accurate way; assist the Chief Executive with communication with members and state government; Proactive day to day diary management, including assisting with arranging appointments and meetings to support the Chief Executive.
administer CRM, Festival Volunteer Network platforms and maintenance of membership records; draft, edit and format documents, reports, and presentations; support desktop research and data management; collect and compile information and prepare documentation and correspondence in line with quality and organisational requirements; update and maintain records and databases in line with systems to ensure that all information is accurate, stored correctly and accessible; prepare event briefs, liaise with event partners in a timely and effective manner, and prepare pre and post event reports, as appropriate; support delivery of programs by coordinating venues, catering, invitations, and other relevant tasks associated with event programs; provide support in the execution of outputs related to Festival City Adelaide communications, including but not limited to eComms, social media, and website to ensure that accurate and up to date information is available to the public and industry at all times; management of projects such as the Young Professionals in Festivals and Events Network and the Festival Volunteer Network.

Some out of hours work may be required.
On site work is preferred, with the option for occasional remote work.
Decision-making The role makes decisions and acts independently with regards to core administrative duties that are routine in nature, provided the decisions are in accordance with the values and relevant policies of the organisation.
In this context, the role: establishes daily work routines in relation to the core functions of the role completes tasks in consultation with the Chief Executive, as appropriate, and in accordance with priorities as directed refers and consults with the Chief Executive where clarification of high priorities is required or problems cannot be resolved by standard practice exercises independent judgement in responding to general enquiries, providing information or referring to the Chief Executive where enquiries are difficult or non-routine.
makes recommendations to the Chief Executive regarding improving services, administrative practice, or business processes.
Quality & Attention to Detail The role works across multiple business support activities and services in line with agreed standards, timeframes and milestones, given tight timeframes and the need to maintain accuracy and attention to detail.
KEY RELATIONSHIPS: WHOWHYChief Executive OfficerKeep informed, advise, receive guidance and instructions, escalate issues.Participate in meetings, share information and provide input on issues.Work collaboratively to achieve high quality and timely delivery of projects.Festival City Adelaide Board MembersSupply board members with appropriate documentation when needed and assist in organising Festival City Adelaide Board Member events.Maintain positive relationships with our members inclusive of any employees at their organisations.Festival City Adelaide MembersAdequately represent the company to provide our members and the wider industry with personalised customer service.Provide a friendly face and welcome our members at Festival City Adelaide events such as the Policy Summit and Leadership Breakfasts.
External StakeholdersRespond to queries, identify needs, gather information, communicate services and redirect, escalate or resolve issues.Coordinate activity.Volunteer ManagersManagement of the Festival Volunteer Network requires working closely with volunteers, the Volunteer Managers of each of our member festivals and staff at Be Collective, our online volunteer management software.Young Professionals in Festival and Events Management of the Young Professionals in Festivals and Events Network will require building relationships with members of, and potential members of the network including TAFE and university students, and other young professionals in the industry.Duration: 12 months, full-timeReports to: Chief Executive OfficerSalary: Circa $65,000Location: On site, flexible.
Office is located at 2/5 Pirie Street, Eagle Chambers.
