**About the position**

We are looking to recruit an experienced Executive Assistant to Director.

Our highly discerning Directors needs an executive assistant with impressive experience supporting a similarly high-ranking Directors. To succeed in this role, you will be highly organised, experienced and confident dealing with senior internal and external stakeholders. Working in a fast-paced environment in an enviable Sydney CBD location, you will be given opportunity to demonstrate your exemplary ability to be productive, professional and flexible in the role.

You will be highly driven, motivated, efficient and well presented. Your organisational and gatekeeping skills will ensure your Directors maintain focus, productivity and efficiency in a demanding and fast-paced workplace.

The Directors travel often, so travel management skills are essential.

**Position responsibilities**
- Manage calendars and plan travel and accommodation in a proactive way that optimises the Managers time
- Coordinate team and individual meetings, including booking venues and equipment, arranging catering and taking minutes as required.
- Provide high level support to the Directors
- Provide efficient administrative support to the management team including preparation, collection and distribution of information and documentation for meetings, workshops and reporting requirements
- Prepare high quality reports, documents, letters and submissions
- Review the incoming correspondence, prepare and send outgoing correspondence
- Coordinate and prepare state reports, diary management, state meetings and state events.
- Manage and reconcile monthly expenses incurred by the director
- Undertake ad-hoc projects to support the team as required

**Skills & Experience**
- Ability to manage sensitive information and maintain a high degree of confidentiality and discretion in dealing with commercial, private or personal information
- Proven problem-solving capabilities and ability to work under pressure
- Ability to work collaboratively with a range of stakeholders including peers, employees, external organisations, funding bodies and government agencies
- Excellent verbal communication skills and presentation ability
- Proven ability to work independently and as part of a team in a fast moving and dynamic environment
- Advanced skills in the use of the Microsoft Office suite of programs and other relevant software packages

**MUST have unlimited working rights in Australia.**

**MUST reside in Sydney, Australia.**
