**Role overview**
To provide administrative service support to local customers, State Service Manager, and other members of the Service Department through accurate quoting and efficient scheduling of all service work including scheduled services, breakdowns, PMA's & installations. Also responsible for following up on quotes and parts required for any service work. Ensures all invoicing is complete at month's end, and maintains clear communication between the service department, technicians and all internal & external customers
**Key Responsibilities**
- Coordinate all service requirements for local customers, State Service Manager and Technicians, ensuring all resources are available on agreed dates.
- Communicate with State Service Managers and Techs to assist with correct prioritisation of tasks.
- Obtain purchase orders from customers and arrange dates to perform service work according to availability
- Manage bookings of breakdowns, installations, and service visits with external stakeholders
- Prepare and process SAP orders and transactions in an effective, accurate and timely manner
- Arranging scheduled servicing, attending breakdowns and customer queries over the phone
- Liaise with Service Manager and Technicians on scheduling tasks to ensure jobs are quoted, booked and closed in a timely manner
- Any other duties or tasks as requested to enable the department to perform the highest level of support required for the business

**Experience and skill set required**
- Always communicate in a professional and courteous manner. Strong communication and interpersonal skills both internally and externally
- SAP (or similar ERP system) knowledge
- Excellent organisational, customer service skills and strong time management skills
- Ability to quickly learn new processes and work with others in similar roles to manage a regional coordination function
- High level of Customer Service experience
- Knowledge of Microsoft Office Applications
- Ability to prioritise tasks and be well organised
- High attention to detail
- At least 2-3 years administrative/scheduling experience in a high-pressure environment
- Previous experience in a technical or large service-based role will be highly regarded
