We now have an exciting opportunity for a Board Governance Administrator to join our company secretarial team.
About the opportunity
We are seeking a motivated and proactive Board Administrator to join our Company Secretarial team based in Melbourne. As a key member of the team, you will provide high-quality administrative support to the Board of the ISPT Group Entities, ISPT Board committees, Shareholder meetings, and various ISPT Fund Investor groups. Your role will be pivotal in ensuring the smooth running, efficiency, and effectiveness of the Company Secretarial Services team.
**Other tasks will include**:
- Liaise directly with Board Directors on various matters related to board activities and governance.
- Coordinate travel arrangements and attendance at external professional development sessions for the Group Company Secretary and Board Directors.
- Assist with the preparation and ongoing management of the Boards' and Committees' annual calendars.
- Support the preparation and management of the Company Secretarial Services mandatory activities calendar.
- Organise and manage the logistics for various board and committee meetings, including collating guest meeting invites and devising a timetable for the running order of the meetings.
- Collate and distribute board and committee papers.
- Support the Group company secretary with the creation, compilation and distribution of papers, and minutes.
About you
You will bring experience working with Boards and company secretarial teams. A demonstrable strong knowledge of company secretarial practices is expected. Communication is key, and we're looking for someone with outstanding written skills and an excellent attention to detail. You'll be communicating with ISPT senior leaders and Board Directors, so confidence and accuracy in your communication, of all forms will be required.
We want someone who can work independently and take the initiative. Motivation will be important as will your drive to get things done. Skills required include:
- High level of organisational skills, adaptable to changing needs and deadlines in a fast-paced environment.
- Display high standards of confidentiality and diplomacy in handling sensitive issues.
- Experience in property, financial services, superannuation, or other professional services or corporate environments is desirable but not mandatory.
- Flexibility with working hours, as Board/Committee paper deadlines may require out-of-office efforts.
- Experience with Diligent Board books is desirable but not mandatory.
