**THE ROLE **reports to the Directors and manages a HR Assistant.
Key Duties will include but not limited to:
**RECRUITMENT & SELECTION**
- Manage the end-to-end recruitment process
- Write and post recruitment advertisements
- Perform preliminary phone interviews
- Organise in-person or video interviews with hiring managers
- Conduct character and work reference checks and write report for hiring managers
- Conduct work rights checks (VEVO) for every shortlisted job applicant
- Prepare and Issue employment contracts for onshore employee/services agreements for offshore virtual assistant
**ONBOARDING**
- Issue induction pack
- Engage IT with hard/software setup
- Set up workstation
- Assign FOBs and lockers
- Open new starter SharePoint e-folders
**HR INFORMATION SYSTEM**
- Create new employee records in HR information system (HRIS)
- Update employee details in HRIS
**EMPLOYEE RECORDS/FILING MANAGEMENT**
- Maintain Personnel & WHS filing systems
- Archive departed employee records files with effective cross-referencing tables
**HR DOCUMENTATION**
- HR Policies and Procedures
- Maintain Organization Charts
- Maintain Position Descriptions
- Maintain HR Forms/Templates
**HR REPORTING**
- Generate Monthly HR/Analytics Report
- Prepare Monthly Probation Employee List
- Prepare any other reports for Directors and managers
**TEMPORARY WORK VISA ADMINISTRATION**
- Monthly VEVO checks
- Report on list of temporary visa holders for Rostering Managers to comply with restricted work hours requirement
**EMPLOYER NOMINIATION & VISA APPLICATION**
**REWARDS & RECOGNITION**
- Support the Payroll Manager with Yearly Salary Structuring
- Competitor Salary Benchmarking
- Administer the monthly Employee of the Month program
- Administer the monthly Employee Referral Scheme
**EMPLOYEE RELATIONS**
- Attend to staff enquiries on Company policies and all matters relating to the terms and conditions of their employment
- Prepare Statements of Employment/Service when requested
- Manage staff grievances
- Plan and administer a yearly Employee Engagement Social Calendar
- Adopt a year-end charity and manage staff communications and logistics
- Determine and seek staff year-end celebrations budget approvals for SYD, MEL and BNE teams
- Plan SYD year-end staff celebration events
- Make year-end shut-down period staff communications
- Identify skeletal workforce during the shut-down period
- Act on feedback from the Employee Anonymous Feedback Box from the 3 sites
Produce quarterly staff e-Newsletters
- Measure employee engagement score
**INDUSTRIAL RELATIONS**
- Monitor the IR landscape for any legislative updates
- Consult a 24 x 7 employment law advisory service to provide correct interpretations of the Food, Beverage and Tobacco Manufacturing Award, the Fair Work Act, National Employment Standards, etc.
- Review and update HR policies and procedures in line with legislative and business requirements to ensure compliance
**TRAINING & DEVELOPMENT**
- Lead and develop the HR Assistant
- Oversee training needs across the business
- Work with each department to identify training needs & gaps, and initiate training programs accordingly
- Update the QA Training Matrix
- Support QA with Food Safety trainings if required
- Support QA audits relating to staff training records
**PERFORMANCE MANAGEMENT**
- Guide and support managers with their staff performance management
- Implement and follow up on Performance Improvement Plans as required
- Administer Probationary Reviews, Annual Performance Reviews and any associated performance management programs, or salary review initiatives, as appropriate
- Manage internal promotions and transfers, ensuring relevant approvals are sought and new contracts or variation letters issued
- Partner People Managers in staff disciplinary matters
**WORKPLACE HEALTH & SAFETY**
- Act as the Return-to-Work Coordinator for the business
- Prepare Monthly WHS Statistics report
- Update the Return-to-Work Programme every 2 years (or earlier) for Sydney/Melbourne/Brisbane sites
- Update the Emergency Evacuation Plan (EEP) and associated online training every 5 years (or earlier) for Sydney/Melbourne/Brisbane
- Update the WHS Induction/Refresher online trainings which incorporates the EEP
- Maintain the national Register of Injuries for all 3 facilities
