Reporting to the Managing Director, the Office, People & Culture Coordinator performs a key role in the Operations and HR aspects of the business as well as driving cultural initiatives. They provide administrative support across the business and are the go-to person for all internal data and processes. The Office, People & Culture Coordinator must be highly organised, efficient and a fantastic communicator. They have a people first approach and are always looking for ways to streamline internal processes while keeping the team happy and productive. This role is a key driver in ensuring we maintain a positive and engaging workplace and the team are supported to do their best work. It will be varied and interesting, with elements of human resources with regards to recruitment, onboarding and employee engagement, with a big focus on general office administration and support.
This is a maternity leave cover, with potential to extend to a permanent role at completion of the contract. Open to part-time, 4 days a week availability.
**Office Management & Administration**
- You will be the "office-go-to-person" managing and purchasing of all office supplies and equipment and overseeing the maintenance of office facilities
- Document preparation for meetings, minute taking, calendar invitations, room set up and catering
- Administrative support to leadership team and wider team as required
- Administration duties within our general tools and systems including managing users, file management and ownership of internal team calendar
- Maintain and update content on Bolster's intranet
- Monitoring of business inbox
- Travel Management for Managing Director and team members as required (flights, car hire and accommodation)
- Provide ad hoc support to a variety of administration requests by the team
**People & Culture**
- Drive accountability of the internal recruitment process end-to-end which consistently seeks to attract and retain talent, assisting Hiring Managers to run a smooth process, including advertisement of roles, CV review, phone screens, scheduling interviews and preparation of offers of employment and employment agreements.
- Manage and coordinate the onboarding of all new employees to ensure they are set up for success from day one
- Work with Team Leads to organise learning and development opportunities for all team members
- Organise company events and drive employee engagement initiatives including social events, celebrating employee milestones, organising Bolster Uni sessions and encouraging uptake of our benefits
- Maintain a range of HR documentation and templates including letters of offer, contract variations, policies, procedures, templates, organisation charts, and other documentation
- Minimum one year in administration (HR or Talent preferred but not essential)
- Demonstrated ability to plan, prioritise and schedule work tasks with mínimal supervision
- A genuine passion for helping people and a love for organising and finding efficiencies
- You are a team player, you love to see everyone succeed, and have fun in the process
- IT savvy with the ability to use new software and technologies, and escalate IT support requests
- Strong passion for building culture and engagement
