About The Opportunity
As part of a university-wide Student Services team, the Manager, Scheduling plays a key role in ensuring the provision of service in relation to the development, publication and year-round management of the University timetable and delivery of central exams.
The role provides strategic leadership over university-wide curriculum activity scheduling and operational planning, overseeing major institutional projects relating to resource allocation, space utilisation and academic delivery frameworks.
The Manager, Scheduling role is responsible for leading teams to deliver high quality services in accordance with established procedures, priorities, principles and objectives underlying the University's strategic objectives of maximizing the utilization of learning and teaching facilities and enhancing the student experience.
This involves providing specialist training and support to staff involved in timetabling, class registration and exams activities, ensuring the effective collection, interpretation, analysis, data entry process and scheduling relating to teaching and exam requirements, specialist timetable data and requests, and efficient exams scheduling and delivery.
This position works as part of a highly skilled team and plays an important role in the delivery of high-quality services to both students and staff, and for developing and promoting effective processes and enhanced innovative scheduling practices.
What You'll Do
Oversee the strategic planning, publication, and governance of the University's teaching timetable and examination schedules, including the provision of expert advice to senior University management on strategic priorities, resourcing models, policy frameworks and governance for student-related scheduling functions.
Ensure seamless integration with curriculum design, enrolment processes, and space management systems.
Lead and manage a high-performing team, fostering a culture of excellence, innovation, and continuous professional development.
Implement advanced workforce planning strategies including succession planning, cross-functional training, and career development pathways.
Lead the development and continuous improvement of university-wide timetabling and exams policies and procedures, processes and business systems, ensuring alignment with the needs of students and staff while optimizing the use of teaching spaces.
This includes ensuring efficient and effective practices, through the use of various tools, such as process controls, workload leveling, standard work and process mapping.
Benchmark tertiary sector best practice to lead enhancements for the student experience including, but not limited to, course enrolment requirements, class registration, and class and exam timetables.
Advocate for and implement transformative practices that elevate institutional capabilities and service delivery methods.
Develop and maintain the University's teaching timetable and exam schedule in the context of related course and unit changes, manage information collection for class and exam timetable generation, and provide high level problem resolution in collaboration with key stakeholders, ensuring streamlined end to end service delivery to students.
Conduct high-level strategic modelling and analytics to inform executive decision-making on short term / urgent matters, such as CMRT responses and student communications, as well as medium and long term planning, such space utilisation, teaching delivery modes, and institutional planning.
Analyse and report on requirements, constraints, opportunities, and supply and demand factors.
Coordinate the effective use of the timetabling and exams software and related systems, providing expert oversight of system upgrades.
Take the lead on evaluation, testing and implementation of new software/products relating to scheduling and ensure accurate data integration between systems, including the Technology One Student Management System and other enterprise systems, as applicable.
Actively promote collaboration and information exchange and contribute to a quality client service culture where all team members provide a consistently high standard of service to students and staff.
Maintain positive and professional networks both internally and externally, with University colleagues, Government and other external agencies as required.
What We're Looking For
Proven expertise in leading strategic scheduling and examination services within a complex education environment, including policy development and implementation at an institutional level.
Knowledge of a relevant timetabling system and/or Technology One Student Management software would be an advantage.
Extensive experience in managing the provision of support services in a large, diverse and dynamic environment, including the provision of advice and recommendation on strategic matters to senior management.
Demonstrated experience in the development and ongoing management of relevant institution wide policies and procedures, leading a culture of continuous improvement and change innovation to deliver service excellence.
Exceptional oral communication, interpersonal and negotiation skills, including the ability to build and maintain relationships with both internal and external stakeholders, and the ability to apply these skills at all levels of an organisation.
High-level written communication, problem solving and analytical skills, including the ability to prepare submissions, reports and briefing papers.
Demonstrated experience with the management of data quality, data integration with related corporate systems, and the extraction of data via standard and/or ad-hoc means to meet a range of reporting needs.
Demonstrated experience in the recruitment, training and management of staff and the ability to lead effective work practices and high performance culture in a collaborative team environment.
Salary details
Appointment to this role will be at HEO 9 and will have a total remuneration package of up to $160,613 comprising base salary within the range of $130,242 to $137,276 plus 17% superannuation.
