PHM Health provides support services including in-home assistance, accommodation support, and everyday life skill development both on a one-to-one basis and through group support options.
**Position Summary**
The Roster Coordinator is responsible for the rostering of Support Workers to provide reliable and consistent service to participant's requested schedule. It leads the rostering implementation, including planning and supporting rosters.
Individual members are focused on supporting a specific geographic region and as a collective group are divided into two primary functions: Workforce Planning and Workforce Support. Workforce Planning is responsible for the developing and continuous monitoring the roster plan, whilst Workforce Support makes timely adjustments as required and remains in constant communication with key stakeholders such as Engagement, Field Force Leaders, and Support Workers.
**Key Responsibilities**
Ensure that there are sufficient and appropriately skilled staff rostered to work to provide appropriate participant care and to meet anticipated service demands and reliable service delivery.
Ensure there is an appropriate supplementary 'backup' plan for each scheduled participant.
Conform to relevant regulatory frameworks such as the NDIS Practice Standards, anti-discrimination, work health and safety legislation, industrial awards, and local Primary Health Networks.
Ensure staff are rostered fairly and provide appropriate flexibility to facilitate meeting local staffing needs to deliver appropriate care to participants.
Promote participant independence, whilst reducing the chance of unhealthy dependencies by creating opportunities for clients to work with multiple suitable qualified Support Workers.
Consider all types of leave, most importantly Annual Leave, Study Leave and Working Time Regulations when planning and implementing rosters.
Make appropriate provision for adequate staffing supervision, training, predicted absence, handover, and end of day report.
Ensure staff are notified of changes to shifts as required.
Ensure participant schedules are complete, up to date, and maintained to a high standard.
Constantly maintain the proposed roster daily to adapt coverage to meet variable demands.
Ensure effective utilisation of staff through efficient and safe rostering.
Undertake approved rostering adjustments with a combination of expertise to assess the requirements of the service in relation to staff numbers, capacity, and capability, whilst taking into consideration adequate staffing levels.
Work in conjunction with Team Leaders to maintain an effective roster in line with the principles and award requirements.
Monitor time out (i.e., predicted absence allowance) that has been allocated within the roster on a weekly basis.
Attend Support Worker Inductions to represent the Roster & Scheduling Team.
Ensure all participants and Support Worker interactions are documented in Dock'd and escalations are reported to relevant parties.
Support the broader Team Leader and Management as required, including coverage for leave and workload support.
**Qualification, Training & Experience**
- Certificate III Individual Support (Desirable).
- Training in Effective Communication, Effective Business Writing, Business Communication or Emotional Intelligence.
- Demonstrated experience in a rostering role or scheduling role or demonstratable transferable skills.
- Demonstrated experience with rostering software.
**Knowledge, Skills & Abilities**
- Exceptional customer service skills.
- Effective verbal and written communication skills.
- Effective interpersonal skills including the ability to contribute positively within a team.
- Ability to work with a minimum of supervision and use sound judgement.
- Demonstrated time management and organisational skills.
- Proficient computer skills in Microsoft office suite and willingness to learn new programs.
- Able to manage competing time dependent priorities.
- Knowledge of relevant legislation and authorities which impact on your area of responsibility.
