We're looking for a Project and HSE Support Officer to play a key role in keeping MAITS projects running smoothly, providing coordination and administrative support across project delivery, contract management, and compliance.

Around 60% of the role focuses on project and operational administration, including documentation, scheduling, reporting, and client coordination. The remaining 40% supports health, safety and environmental compliance, ensuring teams work safely and records remain accurate and complete.

This role suits someone who enjoys variety, has strong organisational skills, and takes pride in maintaining efficient systems that support safe, successful project delivery.

Key Responsibilities

Health, Safety and Compliance

  • Maintain subcontractor records, including insurance, licences, and induction documentation, within the company's safety management system.

  • Review completed project files to confirm toolbox talks, safe work method statements, and other safety records are up to date.

  • Support pre-mobilisation safety checks for upcoming work, ensuring all documentation is complete and methodologies are approved.

  • Record and manage incident and hazard reports, ensuring timely investigation and resolution.

  • Assist with site inspections, safety observations, and reporting as required.

  • Contribute to continuous improvement initiatives in safety and compliance processes.

  • Attend regular client meetings to discuss HSE performance.

Project and Contract Administration

  • Prepare and format client and project reports, ensuring accuracy and professionalism.

  • Coordinate travel, medicals, and site passes for team members mobilising to site.

  • Assist with the development of site work schedules, ensuring accuracy, professionalism, and completeness.

  • Track asset registers, ensuring client assets are accurately recorded and captured in the internal system.

  • Assist with regular audits, ensuring client and internal records are accurate and up to date.

  • Support the preparation of proposals and tenders, ensuring consistency of content and presentation.

  • Track contract performance, including service levels and response times, and assist with performance reporting.

  • Assist with preparing invoices and tracking contract milestones to ensure accurate and timely billing.

  • Support internal system updates and process documentation in collaboration with subject matter experts.

  • Provide general administrative and coordination support to project managers, account managers and divisional leaders.

Skills and Experience

  • Experience in project or contract administration, ideally within an engineering, construction, or technology-based environment.

  • Working knowledge of health, safety, and environmental compliance requirements.

  • Strong organisational skills with excellent attention to detail.

  • Confident communicator with the ability to coordinate across multiple teams and stakeholders.

  • Proficient in Microsoft Office and comfortable using business systems and databases.

  • Proactive, adaptable, and able to balance multiple priorities in a dynamic environment.
