About the Role:

We are currently seeking an experienced and highly skilled Purchasing Manager to join our Finance / Purchasing team. We will also consider a talented & energetic Purchasing Officer seeking their next step up in their career. In this role, you will be responsible for receiving, storing, monitoring, issuing and re-ordering all items consumed/used by the Hotel and its F&B Operations. To thrive in this role, we need you to be passionate about the purchasing process and the implementation and monitoring of control systems throughout the hotel. Ideally, an operational knowledge of Hotels would be advantageous however more importantly, we are looking for someone who is able to multitask and work efficiently to meet tight deadlines.

Responsibilities include:

  • Develop, lead, and execute purchasing strategies aligned with the company's goals and budget.
  • Source, negotiate, and manage contracts with suppliers for food & beverage, hotel supplies, maintenance items, and services.
  • Collaborate with department heads to forecast demand, manage inventory levels, and ensure timely replenishment.
  • Ensure the timely and cost-effective procurement of quality products and services in accordance with brand standards.
  • Monitor vendor performance and maintain accurate vendor records.
  • Conduct market research to identify pricing trends, cost-saving opportunities, and new suppliers.
  • Ensure compliance with company procurement policies, legal requirements, and health/safety regulations.
  • Maintain accurate purchasing records, reports, and documentation in the procurement system.
  • Coordinate with the finance department for payment approvals and budget control.
  • Participate in audits, cost control initiatives, and sustainability efforts.
  • Maintain local supplier database and manage local procurement contracts
  • Review and authorise Store requisition and purchase orders
  • Monitor and control the receipt, distribution and consumption of goods and services within the hotel
  • Manage and oversee the Store operation
  • Support Hotel operation teams with new menu costings
  • Comply with internal control requirements

Preferably, you will possess:

  • Previous experience in similar role or environment
  • Excellent negotiation and communication skills
  • Strong organizational and analytical skills.
  • Strong knowledge of hospitality supply chain, food and beverage procurement, and vendor management.
  • Strong attention to detail
  • Relevant procurement experience, preferably within hospitality environment
  • Inventory management experience
  • Systems skills – preferable CHECK, Excel, Oracle Point of Sale systems
  • Background in Finance an advantage
  • Knowledge of HACCP and other food safety regulations
  • Experience in sustainable and local sourcing initiatives.
  • Positive attitude and enthusiasm
