Facilities Coordinator (1 Year Contract)
Job Description Summary
The Facilities Coordinator supports day-to-day site operations, maintenance, and vendor management to ensure a safe, compliant, and efficient workplace. The role oversees contractors, coordinates preventive maintenance, manages budgets, and ensures service delivery meets client and compliance standards. Acting as a key contact for stakeholders, the Facilities Coordinator upholds operational excellence, cost control, and customer satisfaction while promoting sustainability initiatives.
Job Description
About the role:
Facilities & Risk Management
- Respond promptly to maintenance and service requests.
- Ensure all contractors are inducted and compliant with safety, risk, and site requirements.
- Conduct regular site inspections and audits to ensure compliance and cost-effectiveness.
- Maintain compliance databases and support contractor audits to meet SLA and risk standards.
Site Operations
- Support delivery of site operations and escalate issues to the Site Operations Lead.
- Assist in auditing and identifying improvement opportunities for site performance.
Financial & Vendor Management
- Support budget planning, forecasting, and cost control.
- Manage onsite vendors for performance, compliance, and value for money.
- Follow procurement processes and provide feedback on vendor performance.
Client Service & Stakeholder Engagement
- Deliver high-quality service with a customer-first mindset.
- Keep stakeholders informed and engaged to ensure smooth operations.
Engineering & Asset Management
- Support preventive maintenance and asset lifecycle planning.
- Ensure scheduled tasks meet compliance and performance standards.
Sustainability
- Work with the sustainability team to identify and implement green initiatives.
About you:
- Degree or diploma in a related area such as Facilities Manager, CRE or property management or equivalent experience is preferred, but not essential
- Preferred relevant experience in Facilities Management operations in corporate office environments where the client is an occupier
- Preferred some experience in regulatory compliance, Australian and international standards
- Preferred some experience in similar sized portfolios, complex corporate hierarchies and preferably as an outsourced service provider
- Competent communication and interpersonal skills
- A client focus and customer experience mindset essential
