The Role
We're looking for a highly organised
Administration Assistant
to join #TeamDecon in
Rydalmere, NSW.
As the Administration Assistant, you'll play a key role in keeping the office running smoothly and supporting both operational and project activities. Working closely with the State Manager, Project Managers and field staff, you'll assist with documentation, event coordination, and day-to-day administrative tasks that keep our teams connected and efficient.

What You'll Do
- Provide daily administrative and coordination support to the State Manager and team.
- Manage office supplies, PPE and equipment orders to maintain readiness for field operations.
- Prepare, format and distribute professional correspondence, reports and meeting documents.
- Maintain filing systems, registers and databases to ensure information is up to date and easily accessible.
- Coordinate travel, accommodation and meeting logistics for the NSW/QLD team.
- Welcome and assist visitors, ensuring a professional and organised office environment.
- Assist with project documentation, purchase orders and supplier invoices in line with company processes.
- Maintain and update project trackers, registers and data logs for reporting accuracy.
- Liaise with subcontractors, suppliers and clients regarding documentation and scheduling.
- Support collation of timesheets, field reports and project records for review.
- Coordinate logistics for staff meetings, client functions and internal training sessions.
- Assist in planning and delivering small events and promotional activities.
- Support marketing and engagement activities such as creating flyers and preparing Powerpoint presentations.
What You'll Bring
- Minimum 3 years' experience in administration, office coordination or a similar support role (essential).
- Certificate in Business or Office Administration (essential).
- Experience in project or construction administration (desired).
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams).
- Excellent organisation, time management, and prioritisation skills.
- Clear and professional written and verbal communication.
- High attention to detail and a proactive, solutions-focused mindset.
- Confidence liaising with staff, clients, and suppliers at all levels.
