Project Overview
Bechtel has been engaged to provide EPCM services to replace three (3) existing bucketwheel reclaimers at a facility at Dampier in northwest Australia.

The Project includes the design, procurement, installation, and commissioning of the new bucketwheel reclaimers as well as design and construction of associated off-board scope, including earthworks, marine infrastructure, structural works and electrical upgrades to support the installation and operation of the new reclaimers.

Job Summary
Opportunity exists to join Bechtel as part of a vibrant team, managing a series of projects in a program of works for our client. We are currently seeking a Document Management (DM) Lead to manage a team of DM personnel across multiple projects in Western Australia. This role is a combination of delivering active team management as well as hands-on document work processing when required. The role may require business travel to project jobsites.

This position is designated as part-time telework per our global telework policy and may require at least three days of in-person attendance per week at the assigned office or project. Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership

Major Responsibilities
Responsibilities of the role include but are not limited to the following:

  • Oversee and coordinate document management activities and governance practices across the program of works
  • Ensure consistency, compliance, and efficiency in managing all project records
  • Provide leadership and support document management teams across multiple projects
  • Provide guidance on standards, processes, best practices and data flows through to full customer turnover
  • Drive alignment with program-wide requirements
  • Establish procedures and work instructions for document development, distribution and retention and work with project teams, contractors, suppliers and other stakeholders to ensure procedures and work processes are delivering the level of information required
  • Lead the training, implementation, assessments and improvements associated with document management work processes
  • Create quality monitoring methods and processes to monitor and report data entry accuracy
  • Develop metrics to measure the efficiency and effectiveness of processes and prepare monthly progress reports for management teams
  • Implement standard document management workflow processes. Improve or develop processes to address gaps
  • Interface regularly with internal and external customers to ensure alignment of deliverables with expectations
  • Establish records formats as required by contract and storage requirements / methods
  • Utilize the Bechtel standard Aconex and client system InEight, to manage access and register, control, distribute, and transmit project documentation
  • Perform other duties as directed by Bechtel management
  • Coordinate development of individual project turnover and archival plans.

Education And Experience Requirements

  • Industry experience gained through a recognized certificate or degree in a STEM-related field, and/or specialized courses in document management, Engineering or related fields with 8-10 years of experience, and/or 12-14 years of relevant work experience.

Required Knowledge And Skills

  • The DM Lead role requires a strong blend of leadership, stakeholder management and analytical and technical skills. Some key attributes you bring to this role include:

  • Proficiency and experience in project document management, including procedural work, customer interfaces and records management

  • Experience in the training and supervision of personnel
  • Good oral and written communication skills
  • Knowledge of budgeting and cost management
  • Strong organizational skills
  • Knowledge of Bechtel or EPC industry and regulatory standards for record keeping
  • Working knowledge of computer programs for records tracking, archival, retention, and storage
  • Familiarity with quality assurance programs and Documents, Records & Information Management (DRIM) requirements.
