The West Daly Regional Council covers 14,000 square kilometres and is located about 300 to 420 kilometres south-west of Darwin. The area is mainly rural, with three Indigenous communities at Peppimenarti, Nganmarriyanga and Wadeye which are managed by West Daly Regional Council (Council).

Position Summary:

The Executive Officer provides high-level administrative and operational support to the Chief Executive Officer (CEO) and the broader executive team. This role focuses on coordinating strategic initiatives, preparing reports and briefings, managing correspondence, and ensuring effective communication across the organiation.

The key duties of this role include but are not limited to:

  • Monitor and manage all Office of the CEO correspondence, coordinate and prepare draft responses, ensuring the input of all relevant stakeholders and disseminate information on behalf of the Office of the CEO as appropriate. Communicate key issues and identify opportunities and risks regarding correspondence for CEO consideration and action.
  • Provide high-level strategic advice and support including the preparation of submissions and speech notes, while also responding to ad-hoc requests.
  • Prepare meeting papers and be secretariat of the Executive Leadership Team meetings (including assisting with LA & Council Meetings and other meeting groups as required), prepare agendas and reports for these meetings including recording, maintaining and distributing minutes, managing completion of any action items and implementing and monitoring related initiatives as determined by the CEO.
  • Lead complex projects identified by the CEO including collation of relevant information, investigating/researching and reviewing recommendations referred to the CEO's attention.
  • Organise and co-ordinate arrangements for external visitors and gather, disseminate and share information or outcomes relating to corporate events, as directed by the CEO.
  • Manage day to day operational and administrative issues associated with the effective functioning of the CEO's office, including serving as the first point of contact for internal and external people and manage and maintain comprehensive office administrative systems and identify and implement improvements.
  • Provide a range of high-level executive support functions to the CEO including coordination of diaries, scheduling appointments and meetings, processing financial transactions, monitoring, and reporting on finance and/or human resources information as required.
  • Prepare CEO travel itineraries, accommodation bookings, including the preparation of relevant paperwork, for official travel undertaken by the CEO.
  • Maintain confidential records and documentation in accordance with organisational policies, procedures and guidelines, manage, and maintain the CEO's paper and electronic filing systems.
  • Prepare funding submissions as required including preparation of Office of the CEO reports, publications and the processing of surveys. Distribute and collate relevant data sets including overview of council service delivery.
  • Prepare replies to Ministerial/Departmental responses for CEO review. Coordinate employee responses to the NTG Department of Chief Minister & Cabinet or Division of Local Government queries, monitoring outstanding queries and follow ups as required.
  • Any other reasonable duties delegated by the Supervisor, which are within level.

About You

To be successful in the role, you must have:

  • Tertiary qualifications in business administration or equivalent qualification and/or considerable experience in a similar role.
  • Strong writing, editing, proofreading, layout and design, professional printing/publishing skills including ability to present concepts verbally.
  • A professional, customer focused manner and ability to facilitate and work with all levels of employees and management to achieve improved strategic and operational outcomes.
  • Demonstrated experience/capacity in providing reliable and professional advice to management at all levels across a broad range of issues relating to the specialty program.
  • Demonstrated ability to autonomously run projects, document processes and take ownership of complex and specialised tasks.
  • Excellent written, analytical and verbal communication skills with the ability to influence and negotiate across all levels and different and complex cultural settings.
  • National Criminal History Check clearance and Current Working with children/Ochre Card.
  • Current Northern Territory Driver's Licence.
