Your day-to-day:

  • Manage the entire listing lifecycle — from agency agreements and compliance through to exchange and settlement
  • Coordinate marketing and creative output including supplier bookings, print artwork, digital campaigns, EDMs and media scheduling
  • Oversee team operations — managing inboxes, calendars, offshore support and auction logistics
  • Support finance processes — issue VPA invoices, reconcile marketing expenses, and distribute trust receipts
  • Uphold compliance and quality control across all documentation and systems
  • Assist with onboarding, training and reporting for agents and new team members
  • Provide high-level administrative and operational support to the Head of Operations and Managing Director

About you:

  • Prior experience in real estate administration, sales support or operations
  • Strong understanding (or fast learner) of agency agreements, compliance and settlement processes in NSW
  • Proficient with AgentBox, DocuSign, SharePoint and Trello (or similar CRM and workflow tools)
  • Outstanding attention to detail and organisational skills
  • Clear and confident communicator with a proactive, service-oriented mindset
  • Thrives in a fast-paced environment and takes pride in delivering excellence
