Event Coordinator

Place of Work: Reservoir, Melbourne.

Hours: Casual – Monday to Friday and occasional event work when required.

Scope and General Purpose: Reporting to the operations manager & company Directors, this position focuses on the coordination and execution of events, food truck allocations, function bookings as well as office duties including enquiries.

Responsible to: Operations manager.

Liaises with: Senior Management, Marketing, Food Truck Owners and Customers.

Main Duties:

We're looking for a passionate, organised and people-focused Event Coordinator to join the Where The Truck and Australian Mobile Food Vendors Group (AMFVG) team.

This is not your standard events admin job — the focus of this role is on building strong relationships with event organisers and helping them seamlessly list their events on the WTT platform, Australia's largest food truck booking and rostering ecosystem.

At the same time, you'll help vendors build their event calendars, ensuring they're aligned with new event opportunities and trading across the peak season. This role is key in creating efficiencies between organisers and vendors — and making sure everyone wins.

To be successful in this position you must excel at juggling priorities, have strong time management skills strive to meet all deadlines and be a great project manager. You will bring a passion for event management and member retention, lots of energy and enjoy speaking to lots of people. You will be the point of contact for all food truck members. You must be a team player who enjoys working in a close knit, successful team.

Tasks Include:

Duties will include;

-Event Organiser Engagement:

  • Build and maintain relationships with event organisers across Australia
  • Support organisers in onboarding and using the WTT platform to list their events
  • Educate organisers on how their listings impact vendor rosters and sales
  • Ensure accurate, detailed and timely upload of event information into the WTT system

Vendor Support:

  • Assist vendors in building and managing their event calendars
  • Submit Expressions of Interest (EOIs) on behalf of vendors for suitable events
  • Ensure vendors receive timely updates, bookings and documentation
  • Help align vendor availability with organiser requirements

General Coordination & Admin:

  • Manage food truck and function bookings
  • Coordinate schedules for vendors, market stalls and events
  • Prepare event documentation, run sheets and compliance records
  • Respond to phone/email enquiries from customers, vendors and organisers
  • Update CMS records and maintain clear communication logs
  • Assist with promotional material distribution and cross-team support
  • Enter council permit data as required
  • Support marketing and site teams with truck rosters and event briefing packs

Required experience: Events experience – 1 year minimum

Required license or certification: Driver's License and own car.
